JOB OVERVIEW

Stack Growth Solutions is a US fractional CFO and advisory firm serving private equity and private credit backed companies. Our work spans running the accounting and finance function for multi-entity businesses, M&A due diligence, and deal closings. We are hiring a part time operations VA to run the day to day operations across all of it. You will work directly with the firm's owner.

This is a versatile seat at a fast-moving firm, not a narrow admin role. Every engagement runs on task systems: monthly close checklists, cleanup backlogs, recurring accounting tasks, and project boards in ---------- and Notion. During live deals, the pace picks up: diligence request lists, data rooms, document collection, and closing checklists, all with real deadlines. Your job is to make sure the machine actually runs: every task has an owner and a due date, nothing sits stalled without someone knowing, and the owner never has to ask what the status of anything is. We use AI heavily; you will work with Claude daily, and we will train you on our specific setups, but you need to arrive already comfortable using it for real work.

You will own:
- Managing engagement task boards in ---------- and Notion: creating recurring monthly accounting tasks, updating statuses, keeping boards accurate and current
- Tracking the monthly close checklist across entities and following up with accounting staff on open and overdue items
- Supporting M&A due diligence and deal closings: maintaining diligence request trackers, organizing data rooms, chasing documents from sellers and advisors, and keeping closing checklists current
- Chasing down missing items: statements, documents, approvals, and responses needed to keep work moving
- Using Claude for day to day work: organizing information, and running the workflows we build for you
- Coordinating scheduling and meeting follow-ups across US time zones
- Light firm admin, including time tracking compilation and monthly invoice prep

The bar:
- 2+ years supporting US firms or executives remotely, ideally around accounting, finance, or operations teams
- Basic accounting fundamentals: you know what AR, AP, a reconciliation, and a financial statement are, and you can follow a conversation about them
- Genuinely tech-savvy and a fast learner; comfortable working inside task and project systems daily, ---------- or Notion strongly preferred
- Skilled with Claude or similar AI tools for real work, not just casual use
- Fast-moving and comfortable when priorities shift mid-day, especially during live deals
- Relentless about follow-up; you close loops without being reminded and surface problems before we find them
- Obsessive attention to detail; what you track and send must be accurate
- Proactive and self-managing
- Strong written English
- Available and reachable for at least 6 hours of daily overlap with US Eastern time
