Operations VA & Client Care Coordinator
We are looking for someone who wants to grow with the company long-term. This role will start part-time with a focused scope and will expand in responsibility, compensation, and hours as the right person proves ownership, initiative, reliability, and operational value. Primary Objective:
Support Verdant Landscape Designs by managing lead flow, scheduling, proposal and LMN admin, invoicing and collections follow-up, subcontractor coordination, document organization, SOP implementation, and recurring-service support so projects move smoothly, clients receive polished service, and the company can scale with stronger systems.
Core Responsibilities:
manage inbound leads and client follow-up, including Houzz
support proposal creation, estimate admin, and LMN entry
manage scheduling, job calendar coordination, and confirmations
prepare invoices and support collections follow-up
organize digital files, documents, templates, and job records
coordinate with subcontractors and assist with materials ordering
help document, clean up, and implement SOPs using your critical thinking skills, AI and other softwares
support rollout and administration of new maintenance division, autonomous landscape tech & personalized touch points within Fine Gardening Program
assist with Canva-based marketing/admin materials and Houzz profile upkeep
maintain weekly reporting on leads, proposals, invoices, schedule, and open items
suggest process improvements and operational ideas - want someone who is bright, can think for themselves, offer suggestions for improvements, ideas and is ready to become part of this business and watch it grow!
