Visual Appeal Media is a growing real estate media agency looking for a hands-on Operations & Systems
Manager to help streamline our backend, tighten workflows, and keep projects moving smoothly as we scale.
This is not a high-level strategy-only role and not a basic assistant position. You will be in the day-to-day
operations — owning systems, improving processes, and executing alongside the team.
If you enjoy turning chaos into structure, building systems that actually get used, and keeping things flowing
without constant oversight, this role will feel very natural to you.
What You’ll Be Responsible For
Operations & Systems (Primary)
• Own and improve internal workflows across media delivery, QC, and project tracking
• Create, document, and maintain SOPs that are clear, usable, and repeatable
• Identify bottlenecks and inefficiencies — then fix them
• Help implement and improve systems, tools, and automations
• Ensure projects move from start to finish smoothly and predictably
Media QC & Delivery (Hands-On)
• Oversee and participate in quality control for photos and videos
• Ensure files are named, organized, and delivered correctly
• Manage revision workflows and prevent errors before clients see them
• Help refine and systemize the QC and delivery process so it can eventually be delegated
Tools & Platforms
• Support our transition back to HDPhotoHub for client delivery and order management
• Work within Slack, Google Drive, and tracking systems to maintain visibility
• Help evaluate and potentially implement better project tracking tools (ex:
• Assist with building and organizing a shopping cart / product structure inside HDPhotoHub
Client Experience & Growth Support
• Ensure internal systems support a smooth, professional client experience
• Help improve onboarding, delivery consistency, and retention workflows
• Bring operational insight that supports client acquisition and referrals (systems-side, not sales)
Client Acquisition & Retention Support
• Help improve systems that support client acquisition, onboarding, and follow-up
• Ensure existing clients receive a consistent, high-quality experience that encourages repeat business and
referrals
• Support retention efforts through better communication, delivery consistency, and internal tracking
• Provide operational insight that helps identify opportunities to improve client experience and long-term growth

Required Experience
• Operations, systems, or workflow ownership in a small business, agency, or service-based environment
• Experience documenting or improving processes
• Comfort working across multiple tools and platforms
• Strong follow-through and communication
Strong Bonuses (Not Required, But Valuable)
• Experience working in a media, creative, or marketing agency
• HDPhotoHub experience
• Photoshop or media QC experience
• Automation or workflow tool experience
• Client onboarding or operations tied to growth
