We operate two growing businesses serving the motorsports industry:
**TrackTune** – A mobile app that streams live race announcer audio and track communications directly to fans, teams, and participants.
**Auditory Defense** – Audiology-backed hearing protection products and education about hearing loss focusing on motorsports fans and participants.
As our businesses continue to grow, we have accumulated a large library of digital assets and projects, including Canva designs, social media graphics, video reels, product photos, marketing materials, signage, manuals, website content, and operational documents.
We are looking for an organized, systems-oriented professional who enjoys creating order, improving workflows, and building scalable processes that help teams work more efficiently.
## Current Tools & Systems
We currently use:
• HubSpot CRM
• Canva
• Dropbox
• Slack (our primary team communication platform)
• Google Workspace
• Trello (currently implemented but not heavily utilized)
We are not necessarily looking to replace these tools. Instead, we are looking for someone who can evaluate our current systems and recommend the best way to organize information, manage projects, improve communication, and create efficient workflows.
The ideal candidate will be able to determine whether our existing tools can be better utilized, whether additional tools should be introduced, and how all systems should work together to create a streamlined and scalable operation.
## Primary Responsibilities
• Organize and maintain digital assets across multiple platforms
• Create logical folder structures, naming conventions, and organizational standards
• Design and implement project management workflows
• Establish content creation, review, approval, and publishing processes
• Improve communication and accountability among tea
• Create and document Standard Operating Procedures (SOPs)
• Ensure completed work is stored in the proper location and easily accessible
• Develop systems that support both current operations and future growth
• Recommend and implement practical tools and automation where appropriate
## Example Workflow Challenges We Need Solved
We frequently create social media posts, video reels, graphics, signage, marketing campaigns, website content, and other digital assets.
We need a system that clearly answers questions such as:
• Who is assigned to create the content?
• Where are project files stored while they are being worked on?
• How do tea
• How does the content get reviewed and approved?
• Where is the final version stored?
• Who is responsible for publishing or posting it?
• How do we easily find and reuse assets in the future?
• How do all of our tools work together without information getting lost?
The ideal candidate will be able to design workflows that make these processes simple, organized, efficient, and easy for everyone to follow.
## Ideal Candidate
• Experience organizing digital assets and operational systems
• Experience evaluating business processes and designing systems that improve organization, communication, accountability, and efficiency
• Strong organizational and communication skills
• Experience working with remote teams and contractors
• Comfortable evaluating existing workflows and recommending improvements
• Able to work independently and take ownership of projects
• Strong attention to detail and process improvement
Most importantly, we are looking for someone who enjoys building systems, creating structure, and turning disorganized information into clear, repeatable processes.
We are not simply looking for someone to manage tasks. We are looking for someone who can help design the entire operational ecosystem of the business—determining how our tools, communication, projects, content creation, approvals, file management, and digital assets should work together to create an efficient, scalable, and easy-to-manage organization.
## Interview Process
Qualified candidates should be prepared to spend approximately 20–30 minutes discussing how they would organize and manage a business with a large volume of digital assets, marketing content, and ongoing projects.
Please be prepared to discuss:
• How you would organize our Canva, Dropbox, and marketing assets
• How you would structure project ownership and task management
• How you would create approval workflows for content and marketing materials
• How you would improve communication among tea
• How you would ensure completed work is properly stored and easy to find
• How you would create a scalable system that supports future growth
We are interested in understanding your thought process and approach to building systems, not simply your familiarity with specific software platforms.
The ideal candidate will demonstrate a practical, organized approach to creating systems that save time, reduce confusion, improve accountability, and help the entire team work more efficiently.
