JOB OVERVIEW

We're looking for an Operations Specialist who enjoys bringing structure to fast-moving operations and solving problems before they become bigger issues.

This isn't a role where you simply follow a checklist. You'll work directly with leadership to coordinate day-to-day operations, manage work orders, support client accounts, improve internal processes, and keep teams aligned across multiple moving pieces.

The ideal person is highly organized, communicates exceptionally well, takes ownership without waiting to be asked, and enjoys working in an environment where priorities evolve as the business grows.

Responsibilities
- Create, manage, and maintain work orders in our proprietary operations platform using information gathered from client emails, phone calls, Slack conversations, and other communication channels.
- Translate complex or incomplete information into clear, accurate work orders by organizing task instructions, schedules, inventory details, and operator assignments.
- Monitor active and overdue work daily, proactively identify potential delays or SLA risks, and follow up with field operators to keep projects on track.
- Coordinate with clients, account managers, and field operators to communicate updates, confirm schedules, resolve operational issues, and ensure successful execution.
- Support new client onboarding by configuring work order types, workflows, and operational processes within the platform.
- Prepare structured daily reports for leadership, including operational priorities, active work, risks, blockers, and progress updates.
- Develop and maintain SOPs, onboarding guides, and internal knowledge base documentation to support consistent and scalable operations.
- Identify workflow gaps, recommend process improvements, and help build repeatable systems that improve operational efficiency as the business grows.
- Take ownership of day-to-day operational responsibilities while adapting quickly to changing priorities in a fast-paced startup environment.

Requirements
- 3+ years of experience in operations, operations coordination, account coordination, project coordination, dispatch support, logistics, customer operations, or a related field.
- 1+ year of experience working in a remote or work-from-home setup
- Previous startup experience is highly preferred.
- Experience supporting multiple stakeholders, client accounts, or cross-functional teams in a fast-paced environment.
- Exceptional attention to detail with the ability to maintain accuracy across multiple moving priorities.
- Excellent written communication skills with the ability to communicate clearly and professionally with clients, operators, and internal teams.
- Ability to analyze information from emails, Slack conversations, meetings, or other communication channels and turn it into structured, actionable work.
- Strong ownership mindset with the ability to work independently, proactively solve problems, and adapt to changing priorities without constant direction.
- Experience creating or improving SOPs, onboarding documentation, and operational processes.
- Proficient in Google Workspace, Slack, Notion, Airtable, Asana, or similar collaboration tools.
- Comfortable using AI tools such as Claude, ChatGPT, or similar platforms to improve productivity and operational efficiency.
- Must have a stable internet connection and a reliable workspace.
- Available to work US business hours

Salary and Benefits:
- Base salary: 55,000 PHP per month
- 100% remote / work-from-home
- PTO and paid holidays
