Operations Manager (SEO & Link Building Agency)

Location: Remote
Type: Full-time
Compensation: Competitive base + performance bonuses
Reports to: Founder / Director

We’re a fast-growing SEO and link-building agency working with international clients across competitive niches. We run lean, move fast, and obsess over execution. Systems, accountability, and measurable output matter here.

We’re looking for a highly organized, systems-driven Operations Manager to take ownership of day-to-day delivery, build scalable processes, and ensure our team hits KPIs consistently.

This is not a fluffy “project coordinator” role. This is for someone who loves structure, dashboards, and making teams perform.

What You’ll Be Responsible For

Operations & Delivery

Own operational execution across link building, outreach, fulfillment, and reporting

Turn messy processes into clean, repeatable SOPs

Identify bottlenecks and implement fixes fast

Systems & ClickUp Mastery

Build and maintain ClickUp workspaces, lists, automations, and dashboards

Design trackers for:

Outreach volume

Link placements

Inventory

Client delivery

QA checks

Set up workflows that reduce manual work and human error

KPIs & Accountability

Define and track team KPIs (e.g. emails sent, links placed, turnaround time, acceptance rates, cost per link, etc.)

Run weekly performance reviews with tea ---------- mbers

Hold staff accountable to targets and deadlines

Flag underperformance early and take corrective action

Team Management

Manage and coordinate VAs and outreach/link building staff

Ensure clear task ownership and priority setting

Maintain high output without burnout or chaos

Founder Support

Act as an execution layer between strategy and delivery

Turn high-level goals into operational reality

Keep the founder out of day-to-day firefighting

What We’re Looking For

Must-Have

Proven experience managing operations in:

SEO agency

Link building agency

Digital marketing agency

Or similar performance-driven environment

Advanced ClickUp experience (not beginner)

Strong systems thinking — you naturally design processes

Obsessively organized

Comfortable enforcing KPIs and accountability

Excellent written English

Proactive problem-solver

Strong Plus

Experience managing remote/VAs (e.g. Philippines, Eastern Europe, LATAM)

Familiarity with outreach tools, Ahrefs, Google Sheets, CRM-style tracking

Experience building SOPs and training documentation

Background in scaling small teams
