About Us:

We are a UK-based creative agency producing AI-powered ad creatives for e-commerce brands spending $500K-$3M+ per month on Meta ads. We have a growing team of editors, creative strategists, and a project manager. We need an experienced operations manager to run the day-to-day and keep everything on track.

This is NOT a general VA role. We need someone who has worked in a creative agency, ad agency, or marketing agency before and understands how creative production works.

What You'll Do:

Manage a team of 6-10 editors and 2-3 creative strategists across multiple client accounts
Own the creative pipeline in ClickUp — track every ad concept from brief to delivery across all clients
Assign briefs to editors with clear deadlines and follow up daily to make sure they deliver on time
Be active in Slack throughout the working day — you are the person keeping everyone accountable
Monitor editor and strategist output — track who's delivering, who's behind, and who's underperforming
Track weekly and monthly KPIs for each client — ads delivered vs target, on-time delivery rate, revision rounds
Track editor KPIs — output volume, turnaround time, quality, missed deadlines
Send a weekly KPI report every Monday to the founder
Forecast whether we're on pace to hit monthly deliverables for each client and flag risks early
Ensure weekly creative batches are compiled and sent to clients on time
Keep Google Drive organised — all briefs, assets, drafts, and approved ads filed correctly per client
Calculate monthly editor payroll based on approved concepts delivered
Track strategist compensation and bonuses
Handle invoicing logistics and chase outstanding payments when needed
Build and improve SOPs and automations in ClickUp as we scale

Requirements:

Previous experience working in a creative agency, ad agency, or marketing agency — this is the most important requirement. You must understand how ad creative production works
Expert-level ClickUp skills — you can build views, automations, dashboards, and workflows without guidance
Experience managing creative teams — editors, designers, or strategists
Excellent written and spoken English
Obsessively organised with extreme attention to detail
Proactive — you flag problems before they become emergencies, you don't wait to be asked
Comfortable managing multiple clients and priorities simultaneously
Available during UK/EU business hours (9am-5pm GMT or CET)

Strong Preference For:

Experience in e-commerce, DTC, or performance marketing
Understanding of Meta ads and ad creative production
Experience managing remote teams across different time zones
Familiarity with Slack, Google Drive, and Revolut Business
Experience with payroll tracking and freelancer payments
