The Role
We are looking for a highly organised and proactive Operations Manager who brings strong Virtual Assistant–level discipline, excellent English writing skills and attention to detail, to oversee and support the day-to-day operations of the business.
You will work closely with the senior leadership to ensure operational efficiency, strong internal systems and consistent execution across the business.

Key Responsibilities
Operations & Business Management
Oversee the day-to-day operational running of the business
Develop, implement and maintain efficient internal systems and processes
Coordinate workflows across teams to ensure productivity and efficiency
Support leadership in tracking key business priorities and projects
Proactively identify operational gaps and implement improvements

Lead Management & CRM Oversight
Ensure sufficient, high-quality leads are uploaded daily for the setters
Manage and maintain the CRM system, ensuring all lead data is accurate, up-to-date and properly organised
Monitor lead flow, pipeline stages and data quality within the CRM
Assign, track and manage leads within the CRM system to a high level
Generate and review CRM reports to track performance and identify issues
Prepare reports from the outbound efforts and share with the leadership
Filter and collect suitable lead lists from a range of different data sources

Executive & High-Level VA Support
Provide direct support to leadership with day-to-day coordination and execution
Manage calendars, scheduling and meeting coordination
Handle inbox management, email follow-ups and essential communication
Draft and send professional communications on behalf of leadership
Prepare reports, summaries and key documents for decision-making
Act as a central coordination point across teams

Administration (High Standards)
Maintain highly organised company documentation and records
Prepare meeting agendas, take detailed minutes and track action points
Organise digital systems and internal documentation structures
Ensure all records are accurate, accessible and consistently maintained

Task & Project Coordination
Track tasks, deadlines and deliverables across teams
Follow up to ensure completion of key actions
Assist in managing internal projects and timelines
Ensure contracts, proposals and invoices are sent to prospects

Human Resources Support
Support onboarding and employee documentation processes
Maintain employee records and HR documentation
Assist with contracts, policies and HR administrative tasks

Timesheets & Internal Reporting
Manage team timesheets and time tracking systems
Ensure accuracy and compliance
Prepare internal reports for leadership review

Contracts & Compliance
Maintain records of client, partner and supplier contracts
Track renewals and key dates
Ensure documentation remains organised and up to date

Marketing & Website Support
Assist with website updates when required
Support preparation of marketing materials and internal documents

Requirements

Essential
Demonstrated exceptional Virtual Assistant or high-level administrative experience
Proven experience using CRM systems (e.g. HubSpot, Salesforce, Zoho or similar)
Strong understanding of lead management and pipeline tracking
Outstanding organisational and time management skills
Excellent written and verbal English communication
High attention to detail and accuracy
Ability to manage multiple responsibilities independently
Proactive mindset with the ability to anticipate needs

Preferred
Experience supporting senior leadership or founders
Experience in operations or business support roles
Experience in fast-paced or growing environments
Familiarity with reporting, dashboards and performance tracking
