JOB OVERVIEW

Operations Manager (Remote, Philippines) — Job Posting

Apply here: ----------

The Lacy Employment Law Firm is hiring a Philippines-based Operations Manager to own the firm's operational accountability — the person who makes sure the work gets done, the systems keep running, and problems get caught before they cost us.

About the firm
The Lacy Employment Law Firm (LELF) is a plaintiff-side employment litigation boutique representing employees in discrimination, retaliation, whistleblower, and wage cases, with offices in Philadelphia and Pittsburgh and a growing overseas support team. We run on tight systems and clear metrics, and we're scaling fast — this role exists to keep the machine running cleanly as we grow.

About the role
We're hiring an Operations Manager to own the firm's operational accountability layer — the single person responsible for making sure work actually gets done, systems actually keep running, and problems get caught and fixed before they cost us. You'll supervise our overseas team, own the firm's operational metrics, and report directly to the Managing Attorney.
One principle defines this job: running systems don't stay running. We need someone who verifies rather than assumes — who confirms the automations fired, the deadlines are covered, and the numbers are real — and who raises problems early with a proposed fix instead of waiting to be asked. If you're the kind of person who notices what everyone else missed, this is your seat.

Quick facts
• Reports to: Managing Attorney (Andrew Lacy, Jr.)
• Supervises: the firm's overseas virtual assistant team (currently ~6)
• Hours: full-time, aligned to US Eastern business hours (approx. 8:00 AM – 5:00 PM ET)
• Location: remote, Philippines-based
• Employment: direct hire — LELF is your employer (not an agency or contractor arrangement), with full statutory benefits under Philippine law (see Compensation & benefits)

What you'll own
• Monitoring & accountability (the core). Verify that recurring systems and automations are actually running, that no filing or docket deadline is slipping, and that each process owner completed their checks on schedule. Catch silent failures early and escalate with a proposed fix.
• Team supervision. Assign and balance work across the VA team, serve as their first point of contact for questions and escalation, run regular check-ins, and hold the team to clear, measurable standards — including honest feedback when work slips.
• Metrics & reporting. Own the weekly operational scorecard: pull the numbers (intake pipeline, conversion, turnaround, docket throughput), confirm they're accurate, and report status and risks to the Managing Attorney.
• Systems, vendors & access. Track software subscriptions, renewals, and costs; vet new vendors and tools before adoption; and manage team access and credentials — onboarding/offboarding, the password vault, and keeping everyone on firm-approved systems only.
• People operations. Onboard and offboard team members, coordinate coverage and leave, and recruit and screen new VAs as the team grows.
• Process & documentation. Build and maintain SOPs and checklists so recurring work is repeatable and nothing depends on one person's memory.
Out of scope: substantive legal work, client funds, and trust accounting are handled by the attorneys. This role supports and monitors operations — it does not practice law or touch client trust accounts.

Who you are
• Proactive by default. You notice when something's off without being told, and you'd rather flag a problem early than hope it resolves itself. This is the single most important trait for the role.
• Comfortable holding people accountable — including giving direct feedback and escalating bad news upward. You can be respectful and firm at the same time.
• Organized and systems-minded. You like checklists, dashboards, and turning messy processes into repeatable ones.
• Strong written and spoken English, able to turn a quick instruction into a clear task and a clear status update.
• 3+ years in operations, team coordination, legal support, or a similar role — ideally supervising a remote team.
• Comfortable with tools like Airtable, Slack, and automation platforms, or a fast learner eager to master them.

Nice to have
• Experience in a law firm or professional-services environment, especially US litigation support.
• Familiarity with discovery/litigation workflows, docketing, or legal project management.
• Experience building SOPs or managing SaaS tools and vendors.
Compensation & benefits
• Competitive monthly salary, commensurate with experience. (Range to confirm: ₱[]–₱[]/month.)
• Direct employment by LELF with full statutory benefits under Philippine labor law, including SSS, PhilHealth, and Pag-IBIG contributions; 13th-month pay; service incentive leave and holiday pay; and a night-shift differential for hours worked between 10:00 PM and 6:00 AM (which US Eastern hours will include).
• On top of statutory benefits, we offer [HMO/health coverage, paid time off above the statutory minimum, and an equipment/internet allowance].
• A senior seat with real ownership and room to grow as the firm scales.
You are a regular, directly-employed team member — not a contractor and not placed through an agency.
