JOB OVERVIEW

We're looking for a full-time, highly organized, detail-oriented, and proactive Operations Manager to help run and grow our business.

Responsibilities:

-Coordinate with logistics/shipping partners, create labels, and schedule pickups
-Maintain accurate records across internal systems
-Track shipments and resolve delays or discrepancies with logistics partners
-Reconcile orders and manage claims/reimbursement requests with vendors (time-sensitive)
-Track and follow up on outstanding claims with partners — must stay current
-Update records on a regular schedule
-Monitor and manage online customer feedback
-Research prospective business partners against defined criteria; organize findings in a CRM
-Send initial outreach using provided templates and talking points
-Build presentation materials from provided content for partner meetings
-Respond to customer inquiries using provided templates, escalating anything outside those templates
-Submit a weekly KPI scorecard (daily updates during initial training)
-Excellent attention to detail
-Take on more responsibility as trust and performance build

Qualifications:

-Proficient with spreadsheets and standard office/email tools
-Strong organization & written communication skills
-Excellent attention to detail
-Comfortable following up on open items and deadlines without being reminded — this role requires real initiative, not just task completion
-Fluent in English (written & spoken)
-Eager to learn from SOPs, videos, and feedback
-Critical thinking & problem-solving ability
-Reliable computer + high-speed internet
-Available to work overlapping hours with both US Eastern time (for partner communication) and US Pacific time (for daily coordination)

Preferred:
Prior admin/VA or operations experience

Trial Period:
This position begins with a 2-week paid trial to make sure it's the right fit for both sides before continuing long-term.
