Position Overview:
The Operations Manager plays a critical leadership role in ensuring the firm runs efficiently and effectively on a day-to-day basis. This role oversees administrative staff, manages internal processes and workflows, ensures compliance with legal and ethical standards, and works closely with attorneys and leadership to support the firm's strategic goals.
Key Responsibilities:
Operational Management:
-Oversee daily operations of the firm, including scheduling, case flow, and administrative procedures.
-Optimize workflows and implement systems to improve client service, productivity, and compliance.
-Manage and maintain case management software (e.g., Docketwise).
-Coordinate with attorneys and paralegals to ensure case deadlines and filings are met efficiently.
Team Leadership & HR:
-Supervise and support administrative and legal team staff; provide training, performance evaluations, and professional development.
-Assist in recruiting, hiring, and onboarding new staff members.
-Develop and implement HR policies and staff procedures.
Finance & Budgeting:
-Work with firm leadership to manage budgets, vendor relationships, and expense tracking.
-Oversee billing practices and coordinate with accounting/bookkeeping team.
-Monitor profitability metrics and recommend cost-saving measures.
Compliance & Risk Management:
-Ensure compliance with state bar regulations, confidentiality requirements, and firm policies.
-Maintain accurate and up-to-date records for audits, renewals, and reporting purposes.
-Assist in developing and enforcing protocols for data security and client confidentiality.
Client & Office Experience:
-Ensure a high-quality, responsive client experience.
-Handle client communications and service feedback where appropriate.
-Oversee general office maintenance, technology, and supplies.
Qualifications:
-Bachelor’s degree in Business Administration, Legal Studies, or related field (required); MBA or JD (a plus).
-3–5+ years of experience in operations management, preferably in a legal or professional services environment.
-Familiarity with immigration law practices is strongly preferred.
-Proficiency with law firm management tools and systems (e.g., Quickbooks, Docketwise, Adobe, Microsoft Tools).
-Strong leadership, communication, and organizational skills.
-Ability to prioritize and multitask in a fast-paced environment.
-High level of discretion, professionalism, and commitment to client confidentiality.
