Operations & Growth Manager (OGM)
(Part-Time, Remote – Australian Business Hours)

We’re looking for a highly capable Operations and Growth Manager (OGM) to support a growing home services cleaning business based in Victoria, Australia.
This is not a typical “VA” role.
This is an opportunity to step into a key operational position within the business for the long-term, starting part-time (20 hours per week), with a clear pathway to full-time as the business continues to grow and can justify a full-time position.

About the Role
This role sits at the centre of the business operations.
Upon starting, your focus will be on learning and managing our job management system (ServiceM8), supporting job scheduling, coordinating workflows, and ensuring nothing falls through the cracks.
Over time, the role will evolve into a broader operational and growth support position, where you will contribute to improving systems, supporting customer workflows, and assisting with business development activities such as lead generation.
You will work closely with the business owner and play a critical role in helping the business scale and also maintain excellent customer service and delivery.

Key Responsibilities
Operations & Job Management (Primary Focus)
• Learn and manage ServiceM8 (job scheduling and workflow management).
• Coordinate daily job schedules and ensure efficient allocation of work.
• Monitor job progress and ensure tasks are completed on time.
• Adjust schedules dynamically as priorities shift.
• Maintain clean, accurate and up-to-date job data.

CRM & Workflow Management
• Manage and maintain our CRM system (Salesforce).
• Track leads, jobs, employees, and customer interactions.
• Support pipeline visibility and follow-up processes.
• Ensure no leads or opportunities are missed.

Customer Communication (Non-Phone Initially)
• Manage inboxes and respond to customer enquiries via
• Handle follow-ups, confirmations, and basic coordination.
• Maintain a high standard of written communication and professionalism.

Process Improvement & Admin Support
• Identify inefficiencies and help streamline workflows.
• Support the creation and documentation of SOPs.
• Assist with general operational and administrative tasks as required.

Growth Support (Introduced Over Time)
• Assist with lead generation and tracking activities.
• Support and drive business development initiatives as the role evolves.

Experience & Skills
• Minimum of 4 years of experience working with CRM systems (e.g. Salesforce, Go High Level, HubSpot or similar) is essential.
• Minimum 2 years of experience with job management or scheduling systems (e.g. ServiceM8 or similar) is highly regarded, but not required.
• Marketing and business development experience is highly regarded.
• Strong written English and communication skills.
• High attention to detail and accuracy.
• Strong organisational and time management skills.
• Tech-savvy with the ability to learn new systems quickly.
