JOB OVERVIEW

We are looking for a reliable, detail-oriented, and tech-savvy Operations & GoHighLevel (GHL) Virtual Assistant to support a growing wellness and coaching business.

The client is a microdosing coach and facilitator offering programs, retreats, and certifications. This role focuses on backend operations, system setup, and administrative support—allowing the client to focus on client experience, marketing, and growth.

Philippine Daytime (with some U.S. Central Time overlap)


Duties and Responsibilities

1. Payment & Financial Tracking (Priority)
- Track and manage manual payment plans for retreats and programs
- Follow up with clients regarding pending or overdue payments
- Maintain accurate records of all incoming payments
- Assist in reconciling transactions using tools like Wave (accounting system)
- Categorize monthly income and expenses
- Coordinate with the client to ensure smooth and consistent cash flow tracking
- GoHighLevel (GHL) & Systems Support
- Assist with the transition from Kajabi, Acuity, Stripe, and PayPal into GoHighLevel (including website migration)
- Build and manage funnels, workflows, and automations in GHL
- Create automations such as client application processes and lead segmentation

2. Administrative Support
- Manage Zoom invites, calendar scheduling, and appointment setup
- Handle email management and general administrative tasks
- Support organization of client communications across platforms (including Signal groups)

3. Content & Portal Management
- Upload videos and content into client portals in a timely manner
- Ensure all program materials are organized and accessible
- Assist in maintaining a smooth onboarding experience for clients

4. Content & Marketing Support
- Use tools like Opus Clip to generate short-form content and transcripts
- Assist in creating and organizing social media content
- Support AI-assisted workflows using tools like Claude AI

5. Creative & Technical Support
- Perform basic video and audio editing (preferred)
- Build and update website pages (e.g., testimonial page)
- Assist with managing or troubleshooting a Google Business Profile (a plus)


Qualifications

- Strong experience with GoHighLevel (GHL) (funnels, automations, CRM)
- Experience in operations and administrative support
- Familiar with Kajabi, Stripe, PayPal, or similar platforms
- Experience in payment tracking or bookkeeping (preferred)
- Familiar with content tools (Opus Clip, Canva, AI tools) is a plus
- Organized, detail-oriented, and proactive
- Strong written English communication skills
- Able to work independently and take initiative
- Comfortable working in a fast-paced, growing business
