We run structured operations with clear systems, SOPs, and leadership support. This is a long-term, career-focused role, not freelance or short-term VA work.
The Role
We are hiring a Philippines-based Operations Expert to support our Australian plumbing teams with scheduling, job administration, invoicing preparation, and customer communication.
You will play a critical role in keeping jobs organised, customers informed, and technicians productive.
What You’ll Be Responsible For
Scheduling & Job Coordination
Schedule and reschedule plumbing jobs for Perth & Melbourne
Allocate work to maximize technician productivity
Manage re-attendances, urgent requests, and escalations
Ensure jobs are fully prepared before technicians attend
Job Administration & Compliance
Create and maintain accurate job records in Ascora
Upload photos, approvals, supplier dockets, and certificates
Maintain job notes, history, and expected dates
Keep records clean and audit-ready
Job Invoicing & Timesheets
Review technician timesheets (15-minute increments)
Prepare draft invoices and audit labour/material lines
Import supplier invoices and reconcile against jobs
Support margin accuracy (training provided)
Customer & Internal Communication
Handle customer and property manager updates via
Support technicians with job clarifications and admin
Escalate issues early and clearly
Process Improvement
Identify inefficiencies and suggest improvements
Assist with refining job templates and SOPs as we scale

Xero
Asana
Microsoft 365 (Outlook, Excel)
ChatGPT
(SimPRO or ServiceM8 experience is a plus)

Minimum Requirements
2+ years experience in operations, scheduling, admin, or VA support
Excellent written and spoken English
Strong Excel / spreadsheet skills
Reliable PC (i5/Ryzen 5 or better, 16GB RAM preferred)
Dual monitors preferred
Stable wired internet (50 Mbps+) with backup
Able to work AU-aligned hours
