Operations Coordinator & Business Development — US Painting & Drywall Contractor (Remote, Full-Time)

Company: Waterside Painters LLC — Tampa, FL based painting and drywall subcontractor serving general contractors, builders, and restoration companies across Florida.

Pay: $800-1,000/month depending on experience. Performance review and raise at 90 days.

Hours: Monday-Friday, 9am-5pm US Eastern Time. Must be available during these hours for live phone calls with US-based clients.

About the role:

You will be the operational backbone of a growing contracting business. This is not a basic VA role — you will manage the full lifecycle of projects from first contact with a potential client through job completion and payment. You are replacing a previous tea ---------- mber and inheriting an active pipeline of companies in various stages of engagement. This role has room to grow into a full operations manager position as the business scales into new markets.
What you'll do every day:

* Follow up with warm leads via phone and email to push them toward giving us work
* Add 20 new companies per week to our CRM pipeline through Google Maps research
* Send bid packets (insurance certificates, company info, W-9) to new clients
* Receive blueprints and project plans from clients requesting quotes
* Use our internal estimating tools to generate scopes of work and pricing documents
* Send quotes to clients and follow up on their response
* Coordinate subcontractors — scheduling them for job site visits, confirming start dates, communicating scope details
* Track active jobs — what phase they're in, any issues, what's next
* Generate and send invoices when work is completed
* Follow up on unpaid invoices
* Track subcontractor payments and flag when subs need to be paid
* Maintain and update HubSpot CRM daily
* Maintain a master tracking spreadsheet with all jobs, margins, payment status
* Manage email inbox — respond to routine items, flag urgent items for owner review
* Handle document filing and organization in Google Drive

Requirements:
* Fluent English — you will be making phone calls to American business owners. Accent must be neutral enough to sound natural on the phone. This is non-negotiable.
* Experience with CRM software (HubSpot preferred but not required)
* Comfortable with Google Workspace and Microsoft Excel
* Reliable internet and quiet environment for phone calls
* Self-starter who doesn't need to be told what to do next — you see what needs to happen and you do it
* Available to start within 1 week

Strong plus:
* Spanish fluency (many of our subcontractors are Spanish-speaking)
* Experience in construction, property management, or real estate industry
* Experience with cold calling or business development

Trial period: 2 weeks paid trial before full commitment.
