Operations Coordinator
Key Responsibilities
- General administrative support
- Manage invoicing and follow up on overdue payments
- Create and manage Purchase Orders (POs)
- Track receipts and job costs
- Handle customer communication (calls, inquiries, follow-ups)
- Assist with job scheduling (light support)
- Manage employee timesheets and records
- Maintain CRM and organize documents
- Coordinate between field team and office
Tools Used
- CRM system
- Google Drive
- External accounting support
Requirements
- Strong admin and operations experience
- Experience with invoicing, POs, and job costing
- Highly organized and detail-oriented
- Good communication skills (customer-facing)
- Able to follow and create processes (SOPs)
- Proactive and solution-oriented
Nice to Have
- Experience in construction, HVAC, or service industry
- Familiarity with CRM and job costing systems
- Scheduling or service coordination experience
