Role Summary
We're seeking a highly efficient and detail-oriented Operations & Communications Virtual Assistant to be a critical part of our lean team.
This role is essential for boosting our speed, efficiency, and client communication as we scale. You'll be the primary driver behind our automated follow-up systems, ensuring seamless client interactions from quote to post-move, and acting as the first point of contact for important service inquiries.
Schedule:
Monday - Friday: 1:00 PM - 6:00 PM Eastern Time
Saturday: 9:00 AM - 3:00 PM Eastern Time
Key Responsibilities:
Automated Communication Management: Oversee and manage all automated
Outbound Client Communications: Conduct outbound calls for quoted leads (following our 7-day follow-up plan) and perform all pre-move confirmation calls (1 day prior to move date).
Client Support & Claims Intake: Serve as the initial point of contact for client service issues or claims inquiries. Gather all necessary information, document it thoroughly in MoversTech, and prepare summaries for review by the Integrator VA or Owner.
Social Media & Query Management: Monitor our social media channels and other platforms where leads and queries come in. Respond directly to basic inquiries and engage with followers, directing complex issues to the appropriate tea
General Administrative Support: Provide diverse administrative assistance, including data entry, record-keeping, and other operational tasks to ensure smooth daily workflows.
MoversTech Mastery: Utilize MoversTech as the primary system for all lead, job, and communication management, ensuring accurate and timely updates.
Qualifications:
Proven experience in an administrative support or virtual assistant role, preferably within a service-based industry.
Strong communication skills, both written and verbal, with a professional and empathetic tone.
Exceptional organizational skills and attention to detail.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Proficiency with CRM software; experience with MoversTech or similar field service management platforms is a significant plus.
Self-motivated and able to work independently with minimal supervision.
Access to a reliable internet connection and a quiet workspace.
