About the Role:
We are looking for a highly organized, detail-oriented Operations and Communications Coordinator to help run the day-to-day operations of the studio.
This is a full-time role and requires consistent availability during the stated hours. The role is aligned with US Pacific Time business hours, so night shift availability in the Philippines is required.
This is not a creative role and not a strategy role. This is an execution, coordination, and communication role.
We will provide structured training during the first 2 weeks. You will be trained on our systems, Excel sheets, trackers, and internal processes.
Communication is critical in this role. Daily communication is required. Failure to communicate consistently, proactively, or clearly on a daily basis will be considered a performance issue.
Responsibilities:
* Manage the studio inbox and respond to brand
* Handle follow ups with brands and track conversation status
* Organize brand deals, deliverables, timelines, and deadlines
* Coordinate daily with our team of animators to ensure work is being completed on time
* Maintain daily communication with all tea
* Ensure animators and tea
* Communicate upcoming tasks, priorities, and deadlines to General Manager
* Track payments, invoices, and perform basic bookkeeping such as logging income, expenses and transactions
* Maintain organized Excel sheets and internal trackers for deals, outreach, and finances
* Eventually assist with executing outbound outreach systems by following strict SOPs
Exclusivity Requirement:
This is a full-time position and is expected to be your primary focus.
If we discover that you are working full-time for another company or holding conflicting full-time roles while employed with us, we will immediately end the working relationship.
Requirements:
* Fluent English, written and spoken
* Strong communication and follow-up skills
* Extremely organized and detail-oriented
* Comfortable managing inboxes, spreadsheets, and trackers
* Experience as an operations assistant, executive assistant, or agency ops role preferred
* Reliable, proactive, and comfortable working overnight shifts
* Able to communicate daily with multiple tea
Helps but not required:
* Experience working with creators, agencies, or production teams
* Experience with basic bookkeeping or finance tracking
* Familiarity with CRM tools or outreach systems
