We are seeking a reliable, detail-oriented Operations & Bookkeeping Specialist to support multiple businesses, including a nonprofit organization and small businesses in real estate, design and remodeling. We are open to a part or full time role depending on required hourly rate.
This is a utilitarian, execution-focused role that blends bookkeeping, administrative support, jobsite scheduling, and light creative assistance for social media post. The ideal candidate enjoys wearing multiple hats, working behind the scenes, and keeping operations organized and running smoothly, and has a STRONG accounting background using Quickbooks. You must be confident in finding resources and answers without direct oversight. Being in a startup role, you will help with all facets of the business. You will also work with 3 others, a Coordinator, Admin Assistant, and Interior Designer. We are proud to state that we have a record of long time employment with Pilipino employees who have been with us since inception of starring the business 5 years ago.
This is not a marketing role and not a strategic role. Accuracy, follow-through, and clear communication are critical.
Primary Responsibilities
Bookkeeping & Accounting:
Maintain accurate books in QuickBooks across multiple entities
Record and properly classify income and expenses
Reconcile bank accounts, credit cards, and loan accounts monthly
Maintain clean general ledgers and resolve discrepancies
Nonprofit Accounting Support
Track donations, tuition, grants, and program income
Properly classify restricted and unrestricted funds
Maintain organized records for CPA review and Form 990 preparation
Prepare basic nonprofit financial reports
Billing, Invoicing & Payables
Create, send, and track invoices
Monitor accounts receivable and follow up on outstanding balances
Enter vendor bills and manage expense documentation
Administrative & Office Support:
Monitor and manage general office
Respond to routine inquiries and escalate when needed
Maintain organized digital files and records
Provide general administrative and operational support
Required Skills & Work Setup:
Proven experience using QuickBooks
Solid bookkeeping skills including invoicing and reconciliations
Experience Preferred supporting nonprofit and for-profit businesses
Excellent written and spoken English
Comfortable monitoring and responding to
Ability to work Monday–Friday, 8:00 AM–5:00 PM Eastern Time (US)
Reliable high-speed internet
Personal computer with multiple monitors/screens
Access to a U.S.-based telephone number for business calls
Highly organized, detail-oriented, and dependable
Able to work independently and follow processes
Bonus Skills (Not Required, but Highly Valued):
Canva experience (simple graphics, flyers, social media posts)
Basic social media posting or scheduling
Light branding support and consistency
General small business support tasks as needed
