9 Line Agency is a veteran-owned company that provides non-conventional TDY lodging for military personnel. We source private homes and vacation rentals for teams on temporary duty assignments, handling everything from property sourcing to JTR-compliant invoicing. We're a small, fast-moving team that values ownership, clear communication, and getting things right the first time.

1. WE DO NOT PROVIDE ANY TECH FOR THIS ROLE. You will need to have these things already.
2. Ideally you can work 5 days a week (Austin Texas time CST is our timezone, but possibly could have you working off set hours but will require a training period on our schedule, flexible on days.
The Role
We're hiring a full-time Operations Assistant to take ownership of our financial tracking, receipt management, and eventually grow into client-facing communications and invoicing.
This is not a "set tasks and forget" role. You'll be embedded in daily operations, working directly with leadership, and expected to flag problems before they become issues. We have documented SOPs for most processes — your job is to follow them precisely, ask questions when something doesn't make sense, and suggest improvements when you see them.
Starting responsibilities (Week 1-4):
P&L data cleanup and maintenance in Excel
Gathering and correctly labeling missing receipts from Airbnb and
Organizing financial records across multiple trips
Learning our systems: GHL, Asana, Google Drive, Square
Growth responsibilities (Month 2+):
Property manager communications (availability checks, booking confirmations)
Guest communications (post-booking support, check-in coordination)
GHL contact tagging and CRM management
Inbox triage and drafting
Asana task management
Invoicing support via Square
Housing flyer creation in Canva (SOPs provided)
Requirements
Excellent written English — You'll communicate with US-based clients and property managers. Grammar, tone, and professionalism matter.
Strong spoken English — Phone calls with property managers will be part of the role as you grow.
Excel proficiency — Formulas, data cleanup, basic bookkeeping logic. You should be comfortable with VLOOKUP, SUMIF, and conditional formatting at minimum.
Detail-oriented — Receipts need correct labels. Data needs to be accurate. Small mistakes create big problems downstream.
Decisive but knows when to check in — We want you to solve problems, but never commit us to a property, rate, refund, or cancellation without approval.
Reliable availability — 40 hours/week, with overlap during 7 AM – 3 PM Central Time (US). Two days off per week; weekend work is expected.
