We’re Hiring: Full-Time Operations Assistant / Automation Specialist
(Remote)

Bye Bye Panic is a fast-growing coaching and support company helping people overcome panic attacks and anxiety. As we continue to scale, we’re looking for a full-time Operations Assistant to help keep our systems organized, efficient, and running smoothly.

This is not a side role. We’re looking for someone who wants to grow with us long-term.

We are hiring for a dedicated, full-time tea ---------- mber who can overlap with U.S. working hours.

? Mandatory Requirements
To be considered, you must have hands-on experience with:
? Airtable (advanced working knowledge)
? Zapier (building and managing automations)
? Previous Experience in Service Based Business Ops

These are core to our operations. If you don’t have real experience with the above, this role won’t be a fit.

???? What You’ll Be Doing
- Operations & Admin
- Maintain Inbox Zero across multiple Gmail inboxes
- Respond to member messages professionally
- Handle basic member troubleshooting
- Systems & Platform Management
- Manage Airtable records (memberships, tracking, reporting)
- Build and maintain Zapier automations
- Grant/revoke access across platforms
- Update and maintain operational spreadsheets
- Payments & Membership Support
- Process refunds and billing-related requests
- Assist with basic payment issues
- Reporting & Optimization
- Create simple reports
- Help improve workflows and internal systems
- Identify inefficiencies and suggest improvements

- Stripe / PayPal / SAMCart (bonus)

? Nice-to-Have (Brownie Points)
- Experience with Stripe, PayPal, or SAMCart
- Previous operations experience in an online business
- Workflow optimization experience
- Experience managing community platforms

These are great, but Airtable + Zapier experience is the non-negotiable foundation.
