The property includes approximately 100 apartment units, 300 marina slips, commercial space, and extensive shared property operations. The Operations Analyst will work directly with ownership and coordinate with property management, accounting, vendors, and other third-party service providers.
This is an analytical and operational support position rather than a traditional virtual assistant role. We are looking for someone capable of taking ownership of assigned tasks, analyzing information, identifying discrepancies, and helping improve day-to-day property operations.
Key Responsibilities
* Maintain and reconcile property-level financial and operational data
* Review tenant, marina, storage, and other recurring billing and collections
* Support accounts payable, invoice tracking, and vendor reconciliations
* Maintain property management systems, reports, schedules, and databases
* Assist with monthly budget-to-actual and operating expense analysis
* Track repairs & maintenance, capital projects, vendor proposals, and contracts
* Identify discrepancies and prepare supporting reconciliation schedules
* Maintain organized property records and supporting documentation
* Prepare recurring weekly and monthly ownership reports
* Coordinate with property management, accounting, vendors, and other stakeholders
* Track outstanding action items through completion
* Support general compliance, reporting, and property-level administrative requirements
Qualifications
We are looking for someone who is highly organized, analytical, detail-oriented, and comfortable working independently.
Experience in real estate, property management, accounting, finance, operations, or construction/project management is preferred.
Candidates should have:
* Strong Excel and/or Google Sheets skills
* Strong written and verbal English
* Experience working with financial or operational data
* Ability to reconcile information from multiple sources and identify discrepancies
* Strong organizational and follow-through skills
* Ability to work independently and communicate questions or issues clearly
Experience with AppFolio, Yardi, QuickBooks, or other property management/accounting software is a plus but not required.
Reporting
The Operations Analyst will report directly to ownership/asset management and work closely with the property’s third-party property management and accounting teams.
How to Apply
Please submit:
1. Your résumé
2. Your desired hourly rate
3. A brief description of your experience with Excel/Google Sheets and financial reconciliations
4. Any experience you have with U.S. real estate, property management, accounting, or construction/project management
5. A list of any property management or accounting software you have previously used
Selected candidates may be asked to complete a short paid Excel/reconciliation exercise as part of the interview process.
