JOB OVERVIEW

Short-Term Rental Experience Required | UK Property Management Company

Baystone Living is a growing London-based short-term rental and property management company looking for an intelligent, highly organised and detail-oriented Operations & Accounting Virtual Assistant to join our remote team.

Previous short-term rental (STR) and Accounting experience is required for this role.

This is not a basic administrative VA position. You will be involved in the day-to-day operation of our property portfolio as well as bookkeeping and financial administration.

We are looking for someone who can work independently, spot mistakes before they become problems, use good judgement and take genuine ownership of their responsibilities.

Key Responsibilities

Short-Term Rental Operations

* Manage and monitor guest communications
* Monitor reservations, check-ins and check-outs
* Handle guest issues and escalate urgent matters appropriately
* Coordinate cleaners, maintenance contractors and suppliers
* Review upcoming bookings and identify potential issues
* Monitor cancellations, amendments, refunds and booking changes
* Ensure property information and guest instructions are accurate
* Track outstanding operational tasks and follow through until completion
* Assist with listing and calendar management
* Follow company SOPs while using independent judgement when something does not look right

Accounting & Bookkeeping

* Maintain bookkeeping records in Xero
* Categorise income and expenses
* Perform bank and credit card reconciliations
* Manage accounts payable and accounts receivable
* Review supplier invoices and identify discrepancies
* Reconcile Airbnb, ---------- , VRBO and direct-booking payouts
* Track refunds, adjustments and booking-related payments
* Assist with monthly owner statements
* Assist with property-level P&Ls and financial reporting
* Maintain accurate expense records
* Assist with month-end processes
* Liaise with our external accountant where required

Essential Requirements

You MUST have:

* Previous professional experience working in short-term rentals / vacation rentals
* Experience using Airbnb
* Experience using ----------
* Experience using VRBO
* Professional bookkeeping/accounting experience
* Strong numerical ability
* Good Excel or Google Sheets skills
* Excellent written and spoken English
* Excellent attention to detail
* Strong problem-solving skills and common sense
* Ability to prioritise multiple issues independently
* Ability to recognise when information is incorrect or does not reconcile
* Reliable internet connection and computer
* Previous experience working remotely

An Accounting or Finance degree and/or professional accounting qualifications are strongly preferred.

Hours & Compensation

* Approximately **32-40 hours per week**

* Compensation and responsibilities will be reviewed based on performance
