OPERATIONS & SALES VIRTUAL ASSISTANT (COLD CALLING, CANVA, SOCIAL MEDIA)

Companies: DFW RideShare Rentals & Her Empire Vending
Location: Remote (DFW preferred for RideShare coordination)
Schedule: Full-Time (Monday–Friday; occasional weekends as needed)

ABOUT THE ROLE

We are hiring a highly organized, proactive, and results-driven Operations & Sales Virtual Assistant to support two fast-growing businesses: DFW RideShare Rentals and Her Empire Vending.

This role combines operations, administration, sales, cold calling, social media, and client support. This is NOT a passive assistant role. The ideal candidate is confident on the phone, detail-oriented, creative, and understands that follow-up and execution drive revenue.

RESPONSIBILITIES — DFW RIDESHARE RENTALS

Rental Operations & Administration
- Send weekly updated rental agreements
- Send payment reminders, late payment notices, and late fee notifications
- Track and apply late fees and administrative charges
- Upload and maintain current rental agreements
- Confirm payments via screenshots or receipts
- Maintain accurate renter files and documentation

Vehicle & Fleet Management
- Maintain an up-to-date tracker for:
- Oil changes
- Registration renewals
- Insurance expirations
- Routine maintenance
- Proactively flag upcoming service needs

Lead Follow-Up & Booking
- Call inbound RideShare rental leads
- Screen applicants and place qualified renters into available vehicles
- Maintain real-time vehicle availability records
- Update CRM or tracking systems with lead notes and statuses

RESPONSIBILITIES — HER EMPIRE VENDING

Vending Location Acquisition (Cold Calling Required)
- Make outbound cold calls to businesses to secure vending locations for clients
- Pitch vending placement opportunities professionally
- Follow up with decision-makers until placements are confirmed
- Track outreach efforts and placement approvals
- Coordinate approved locations for machine placement


Social Media & Brand Management
- Create original, high-quality Canva graphics and videos
- Post a minimum of:
- 2 Reels per day
- 2 Posts per day
- Upload and manage content across all social platforms
- Ensure consistent branding and messaging

Product Manuals & Client Resources
- Create professional, print-ready product manuals for vending machines
- Ensure manuals are branded, clear, and easy to follow
- Update and maintain coaching manuals and training resources
- Prepare materials for both digital delivery and physical printing

State Compliance & Coaching Manual Updates
- Research and update coaching materials to reflect:
- State-specific vending laws and regulations
- Licensing and permit requirements
- Sales tax guidelines
- Location compliance standards
- Customize coaching manuals by state when required
- Ensure all client-facing materials align with current guidelines

Lead Follow-Up & Client Conversion
- Follow up with every inquiry from:
- Facebook
- Lead forms
- DMs and comments
- Guide prospects into:
- Vending programs
- Vending machine packages
- Live webinars
- Track lead status and conversions

CRM, Operations & Growth Support
- Maintain accurate client and lead records
- Assist with onboarding new vending clients
- Support webinar launches and promotions
- Identify and suggest process improvements

COMPENSATION & BONUSES

Base Pay
- Competitive hourly or salary pay (based on experience)

Performance Bonuses
- $50 per confirmed vending machine placement
- Location must be approved
- Machine must be placed and operational
- Additional bonuses available for new vending clients who sign up and pay
- Bonuses calculated and paid monthly

REQUIRED SKILLS & EXPERIENCE
- Comfortable making cold calls and speaking with business owners
- Strong follow-up and communication skills
- Canva experience required (graphics, Reels, branding)
- Social media management experience
- Excellent organization and attention to detail
- Ability to multitask across two businesses
- Tech-savvy (CRM systems, Google Workspace, spreadsheets)
- Reliable, responsive, and proactive
