About The Role
We are looking for a highly organised, proactive, systems-minded Operations Coordinator to become the operational backbone of The Book Doula.
This is not a basic admin role.
This is for someone who:
-sees inefficiencies and fixes them
-creates structure where there is chaos
-ensures everything runs smoothly behind the scenes
You will be responsible for ensuring the business operates with:
-clarity
-efficiency
-consistency
-and high standards
You will also play a key role in holding systems, processes, and team execution to a high standard, ensuring nothing falls through the cracks.
What You’ll Be Responsible For
1. Task & Workflow Ownership (Asana)
Own and manage all workflows across three key areas:
- Marketing / Growth
- Fulfilment
- Operations
Ensure every task includes:
- clear objective and purpose
- definition of done
- estimated time to complete
- assigned owner
- clear approval responsibility + a deadline
2. Maintain, create and organise:
- SOPs (written and video)
- structured, easy-to-follow workflows
3. Time Tracking & Resource Management
- Ensure all tasks are time tracked accurately
- Monitor estimated vs actual time
- Identify inefficiencies and optimise team workload
- You ensure time and resources are used effectively across the business.
4. Daily & Weekly Operational Oversight
- Monitor daily task execution across the team
- Ensure priorities are clear and work is progressing
- Follow up on overdue or blocked tasks
- Run a weekly workflow review to assess task completion, identify bottlenecks, adjust priorities and resourcing
5. Issue Identification & Resolution
- Identify operational issues early
- Escalate critical issues to the CEO quickly and clearly
For repeated issues:
-identify root cause
- propose and implement solutions
- track whether the issue is resolved
You do not just manage problems. You solve them at the source.
Performance Standards & Success Measures
Success in this role looks like:
1. All recurring tasks in Asana are clearly documented with objective, definition of done, estimated time, and instructions
2. The team completes work on time with minimal confusion or rework
3. Time tracking is consistently maintained and resourcing issues are identified early
4. Operational issues are escalated quickly and repeated problems are resolved at the root
5. Core product, launch, onboarding, fulfilment, and customer journey processes are fully documented and continuously improved
6. Training needs are identified early and the team is supported to improve performance
Team Coordination
- Lead and coordinate a small remote team of VAs
- Ensure clear communication, accountability, and smooth task handovers
- Identify gaps in performance, training, or process
