Role Overview
We are looking for a highly organised and proactive NDIS Scheduler and Operations Coordinator to support day to day operations.
You will be responsible for coordinating support worker schedules, ensuring participants receive consistent care, and making sure every shift is filled and running smoothly.
You will act as the central point between clients, support workers, and internal systems.

Key Responsibilities
Scheduling and Rostering
Build and manage weekly or fortnightly rosters
Allocate staff based on availability, skillset, and client needs
Fill last minute shifts due to cancellations or absences
Ensure minimal gaps in schedules and maximise billable hours
Client Coordination
Communicate with clients and families regarding schedules
Adjust services based on changing needs
Maintain consistency in staff assignments where possible
Workforce Management
Track staff availability, leave, and hours
Coordinate replacements when needed
Ensure schedules align with working conditions
Systems and Admin
Manage scheduling tools such as ShiftCare, Brevity, or similar
Keep client and staff records accurate and up to date
Maintain organised workflows and documentation
Compliance and Billing Support
Ensure services align with plans and allocated hours
Monitor utilisation to avoid under or over servicing
Support accurate invoicing and reporting
Problem Solving
Respond quickly to roster gaps and urgent issues
Reallocate staff efficiently
Escalate ongoing issues when needed

What We Are Looking For
Essential
Strong organisational and time management skills
Excellent English communication both written and verbal
High attention to detail
Experience in scheduling, admin, or operations support
Comfortable using multiple systems and tools
Preferred but not required
Experience in NDIS, disability support, or home care
Familiarity with tools like ShiftCare, Brevity, or similar
Experience working with Australian businesses
