ABOUT US

We are an established mortgage broking firm based in Adelaide, South Australia. We help clients across Australia with residential home loans, mostly refinances, purchases and pre-approvals, plus some other lending. Our head broker has 7 years of broking experience and focuses on bringing in business, while our support team takes each file from the point a client commits through to settlement.
We are growing and are looking for a reliable, experienced assistant to join the team on a long-term, stable basis.

THE ROLE
You will work alongside our in-house team and take ownership of loan files from start to finish. Once a client has committed and documents are in, the file is yours to run, with the broker overseeing along the way. You will manage around 15-20 files at a time, and sometimes more, and help support our in-house staff where needed.

KEY RESPONSIBILITIES

• Run borrowing capacity and serviceability scenarios and shop lender options using Quickli
• Assess client income and prepare scenarios across multiple lenders
• Build loan applications in Apply Online and our CRMs
• Collect and check all required client documents so each application is complete and correct
• Prepare and lodge loan applications with lenders
• Get forms and disclosures signed by clients
• Liaise with clients, banks and BDMs from lodgement through to settlement
• Follow up on conditions, additional information requests and valuations
• Keep every deal on track against client and settlement deadlines
• Keep client records and file notes accurate and up to date in HubSpot and MyCRM
• Provide friendly, professional customer service by phone, email and messaging
• Communicate clearly with the broker and team in Slack

ESSENTIAL REQUIREMENTS

• Proven experience processing or lodging residential mortgages for Australian lenders, including dealing directly with banks and clients (we need someone who can hit the ground running)
• Hands-on experience building applications in Apply Online or a similar mortgage application platform
• Working knowledge of Australian lending concepts: serviceability, living expenses, documentation requirements, pre-approvals, refinancing and settlement processes
• Strong attention to detail, with the ability to spot missing or inconsistent documents before lodgement
• Excellent written and spoken English
• Able to manage multiple files at once and prioritise deadlines without close supervision
• Strong customer service skills, with a calm, professional manner with clients and lenders
• Comfortable handling confidential client financial information and following security procedures (strong passwords, multi-factor authentication, no sharing of logins or documents outside our systems)
• Reliable high-speed internet with a backup option (mobile data, secondary connection or power backup), plus a quiet, dedicated workspace and your own working computer

HIGHLY DESIRABLE

• Experience with HubSpot or a similar CRM
• Experience with MyCRM
• Experience with Quickli or other mortgage scenario and borrowing capacity tools
• Experience working with Australian banks, non-bank lenders and BDMs
• Previous customer service or client-facing experience
• Familiarity with Slack and remote team collaboration

TRAINING AND SUPPORT

We will train you on our own processes, systems and standards, so you do not need to know everything on day one. We want someone who already understands mortgage processing and can get up to speed quickly. You will have direct access to the broker and the in-house team.
