Role Purpose
We are seeking an experienced Microsoft 365 Digital Workplace & Adoption Specialist to design and implement a unified digital operating environment across the organization.
The successful candidate will help transition the organization from multiple, increasingly complex Microsoft Teams and SharePoint workspaces to a simplified and governed digital workplace. The objective is to create one clear operating model for organizational communication, document management, meetings, accountability, reporting, support requests, and continuous improvement.
The specialist will translate the organization's proposed Management Operating System into a practical Microsoft 365 structure using Microsoft Teams, SharePoint, Planner, OneNote, Lists, Power Automate, Power BI, Outlook, To Do, and Copilot, while appropriately integrating related systems such as Zendesk.
Primary Objectives
The specialist will:
- Design a simplified and scalable Microsoft 365 environment for the organization.
- Establish clear rules for where information, conversations, tasks, documents, decisions, and requests belong.
- Configure a new Microsoft Team as the primary organizational management and collaboration environment.
- Develop coordinated Planner, SharePoint, OneNote, Lists, Power BI, and Power Automate structure.
- Preserve existing Teams and SharePoint content as searchable historical information without unnecessarily moving all legacy content.
- Develop governance standards, naming conventions, permissions, templates, and ownership responsibilities.
- Train staff and managers to use each tool consistently.
- Support implementation, adoption, and continuous improvement following launch.
Qualifications
- Experience designing and implementing Microsoft 365 collaboration and productivity solutions.
- Strong working knowledge of Microsoft Teams, SharePoint Online, Planner, Lists, OneNote, and Power Automate.
- Experience developing governance standards, information architecture, permissions, and digital workflows.
- Proven ability to configure and integrate Microsoft 365 tools to support organizational operations.
- Experience creating process documentation, user guides, training materials, and standard operating procedures.
- Strong project management, communication, facilitation, and change management skills.
- Ability to lead technology adoption initiatives and support users with varying levels of technical proficiency.
- Microsoft 365, SharePoint, Teams, Power Platform, or related certifications preferred.
- Experience with Power BI, Microsoft Copilot, and workflow automation.
- Experience integrating Microsoft 365 with Zendesk or similar service management platforms.
