JOB OVERVIEW

Hiring Virtual Medical Assistant for Mental Health Practice- CHARM EHR EXPERIENCE PREFERRED!

Location: Remote

Schedule: Part-Time, 20 hours per week Monday through Friday 1pm Est to 5pm Est

Compensation: Open to Discuss

We are a growing psychiatric practice seeking a reliable and detail-oriented Virtual Medical Assistant to support both administrative and clinical workflows in a busy mental health setting. Our practice values a supportive, collaborative team environment where communication, respect, and teamwork are essential to providing high-quality patient care. We are looking to hire within the next 2 weeks!

Responsibilities

• Schedule, reschedule, and confirm patient appointments

• Assist patients with completing pre-screening questionnaires and intake forms

• Ensure all consent forms and required documents are completed and uploaded prior to visits

• Verify insurance eligibility and accurately enter U.S. insurance information into the EHR platform

• Process and track prior authorizations

• Monitor, review, and respond to incoming faxes in a timely manner

• Call patients regarding follow-ups, reminders, and incomplete requirements

• Support daily administrative tasks to ensure smooth clinic operations

• Assist with tasks that support practice growth and patient retention

• Identify and flag issues that may affect continuity-of-care or scheduling

Qualifications

• Strongly preferred: Experience with Charm EHR

• Psychiatry or mental health experience MUST HAVE

• HIPAA awareness and commitment to patient confidentiality

• Reliable internet connection, back-up generator, and a quiet work environment

• Professional phone etiquette and patient-centered communication, no exceptions

• Familiarity with U.S. insurance plans, eligibility checks, and data entry

• Strong verbal and written English communication skills

• Highly organized, detail-oriented, and able to work independently in a remote setting

• Must be comfortable working in a fast-paced environment with frequent interruptions and changing demands
