Grant'd is Australia's funding intelligence platform, helping businesses, charities, community organisations and researchers discover, manage and secure funding. We're a growing Australian business with more than 1,000 paying members and we're looking for an exceptional Member Operations Coordinator to become an integral part of our team.
This is a long-term opportunity for someone who enjoys helping people, creating order and taking ownership.

About the Role
This isn't a traditional Virtual Assistant role. You'll become the first point of contact for our members and help keep the day-to-day operations of Grant'd running smoothly. We're looking for someone who genuinely enjoys helping customers, solving problems and making sure nothing falls through the cracks.

Your Key Responsibilities
Member Support (Highest Priority) - You'll be the friendly face behind Grant'd, including:
Responding to member
Managing Live Chat enquiries
Answering member questions
Assisting members with platform navigation
Escalating technical issues to our development team where required
Following up outstanding enquiries to ensure members receive excellent support
Membership Administration
You'll help manage our growing member community by:
Processing new member enquiries
Managing membership upgrades, cancellations and account changes
Following up failed payments
Supporting new member onboarding
Maintaining accurate member records
HubSpot CRM Management
This will be a key part of the role.
Responsibilities include:
Maintaining and updating HubSpot
Identifying and merging duplicate contacts and companies
Keeping customer records clean and accurate
Supporting CRM workflows
Maintaining lists and contact segmentation
Ensuring our CRM remains organised and reliable
Operations & Administration
Helping keep Grant'd running smoothly by:
Inbox management
Calendar support
General administration
Document management
Creating and maintaining Standard Operating Procedures (SOPs)
Setting up and maintaining our Notion workspace
Supporting the wider team with day-to-day operational tasks
We're Looking For Someone Who
Has exceptional written English
Is highly organised and detail-oriented
Loves helping customers
Has experience using HubSpot (or a similar CRM)
Learns new systems quickly
Is proactive and takes ownership
Can work independently while communicating clearly
Enjoys improving processes and creating order
Is comfortable working remotely
Experience
Experience in the following would be highly regarded:
HubSpot CRM
Customer support or customer success
Live Chat support
Administrative support
Notion
Google Workspace
Canva (basic)
Experience supporting Australian businesses or customers
An understanding of the Australian market would be highly regarded.

You'll become the person who helps keep Grant'd running smoothly while the rest of the team focuses on building and growing the business.
