# Virtual Medical Assistant / Patient Coordinator – MedSpa
We are a growing medical aesthetics and wellness practice in Texas looking for an exceptional **Virtual Medical Assistant / Patient Coordinator** to join our team long-term.
This is **NOT simply an administrative VA position.**
You will often be the **first person our potential patients speak with**, so your ability to communicate, build trust, provide outstanding customer service, and convert inquiries into booked appointments is extremely important.
We are looking for someone who is **warm, confident, highly organized, proactive, and sales-minded**.
## Your Responsibilities
* Answer incoming patient phone calls
* Respond to text messages and patient inquiries
* Follow up with new leads
* Convert inquiries into booked consultations and treatments
* Schedule and reschedule appointments
* Follow up with patients after consultations and treatments
* Re-engage leads who did not initially book
* Explain basic information about our aesthetic and wellness services
* Communicate professionally and warmly with patients
* Maintain accurate patient information
* Assist with EMR/CRM and administrative tasks
* Help ensure that no lead or patient inquiry is forgotten
* Provide an excellent, high-end customer experience
Our services include:
* Botox and neurotoxins
* Dermal fillers
* Skin treatments
* Laser treatments
* Medical weight loss / GLP-1 programs
* Hormone replacement therapy
* Peptides and wellness treatments
You do **not** need to know everything about these treatments before starting. We can train the right person.
## What We Care About Most
### 1. Excellent Spoken English
You must be comfortable speaking with American patients on the phone.
Your English should be clear, natural, professional, and easy to understand.
### 2. Excellent Customer Service
We want someone who genuinely enjoys talking with people and knows how to make patients feel welcomed, valued, and taken care of.
### 3. Sales Ability
You should understand that when a potential patient contacts us, your job is not simply to answer their question and end the conversation.
Your goal is to:
**Build trust → understand what they want → answer their concerns → recommend the next step → book the appointment.**
You should be comfortable following up with leads and asking for the appointment.
### 4. Confidence
You cannot be afraid of the phone.
We need someone who can confidently guide conversations rather than simply waiting for the patient to tell them what to do.
### 5. Reliability
We are looking for someone who wants a **long-term position**, takes ownership of their responsibilities, follows through, and does not require constant supervision.
## Preferred Experience
Experience in any of the following is a plus:
* Medical assistant
* Nurse or healthcare professional
* Medical virtual assistant
* Dental office
* MedSpa / aesthetics
* Plastic surgery
* Dermatology
* Patient coordinator
* Receptionist
* Customer service
* Appointment setting
* Sales
* Lead conversion
Healthcare experience is helpful, but **excellent communication, customer service, and sales ability are more important than having the perfect medical background.**
## How to Apply — VIDEO REQUIRED
**Do not send only a resume.**
To be considered, you MUST send a **2–3 minute video introduction**.
In your video, please answer:
1. Introduce yourself and briefly explain your professional background.
2. Why do you think you would be good at speaking with MedSpa patients?
3. Tell us about your customer service or sales experience.
4. Tell us about a time you successfully convinced a customer or patient to move forward with a purchase, appointment, or service.
5. Pretend you received this phone call:
> “Hi, I'm interested in Botox, but I'm just calling around to compare prices.”
Show us how you would respond and try to turn this caller into a booked consultation or appointment.
**Please speak naturally. Do not read your answers from a script.**
Your video is one of the most important parts of the application because this position requires frequent communication with patients.
Applications without a video will not be considered.
## In Your Written Application, Include:
* Your resume
* Your expected hourly rate
* Your availability
* Your timezone
* Your healthcare experience, if applicable
* Your customer service experience
* Your sales experience
* A link to your video introduction
* The word **“VIBE”** at the beginning of your application so we know you read the entire job posting
## Schedule
We are looking for someone interested in a consistent, long-term position who can work during **U.S. Central Time business hours**.
## Who Will Succeed in This Role
You will probably love this position if you:
* Love talking with people
* Are naturally friendly and personable
* Enjoy sales and achieving goals
* Are comfortable following up multiple times
* Are highly organized
* Learn quickly
* Take initiative
* Pay attention to details
* Want to grow with one company instead of constantly changing clients
We are building a growing practice and are looking for someone who wants to become an important part of the team.
If you are looking for a position where you can simply complete tasks quietly in the background, **this is probably not the right position for you.**
If you are confident, personable, competitive, organized, and enjoy turning conversations into happy patients and booked appointments, we would love to hear from you.
