We are hiring a Virtual Assistant to serve as the front-line receptionist and coordinator for a growing US healthcare equipment company. You will be the first voice patients, providers, and sales representatives hear, and you will help move each patient's order from the initial referral through to insurance approval and delivery.
This is a phone-forward role. Spectacular spoken and written English is non-negotiable. You do not need a medical background - we will train you on the product and the process - but you do need to be sharp, dependable, detail-obsessed, and comfortable speaking with American patients and healthcare professionals every day.
WHAT YOU WILL DO
- Answer and route incoming phone calls professionally; take clear, accurate messages and follow up so nothing falls through the cracks
- Serve as the main point of contact for patients, providers, and sales representatives
- Review provider notes and orders to confirm they contain everything the insurance company requires before the file moves forward
- Coordinate documentation handoffs with the billing partner and track prior authorization (PA) status from submission to approval
- Follow up on pending approvals, missing paperwork, and outstanding signatures
- Coordinate delivery and patient training scheduling with the field specialist, and confirm required patient forms are signed and returned
- Maintain accurate, organized records for every patient file
- Handle light general virtual assistant tasks -
REQUIREMENTS
- Outstanding English - clear, neutral, confident phone voice with excellent listening and comprehension
- Strong written English; professional
- Previous experience in a phone-based role (receptionist, customer service, medical VA, call center, or admin support)
- Extremely detail-oriented - this role involves paperwork where one missing item can delay a patient's approval
- Highly organized, self-directed, and able to follow a documented process without being reminded
- Reliable high-speed internet, a quiet work environment, a backup power/internet plan, and a good headset
- Able to commit to a consistent US Eastern Time evening schedule long term
NICE TO HAVE (NOT REQUIRED)
- Experience with US healthcare admin, medical billing, DME, or prior authorizations
- Familiarity with EMR/EHR systems, CRMs, VoIP phone systems, or Google Workspace
