Job Description:
We are seeking a proactive and skilled Virtual Assistant to join our medspa team and support daily operations, marketing efforts, and client interactions. This role is ideal for someone with experience in the beauty, wellness, or healthcare industry who thrives in a fast-paced environment and can juggle multiple tasks efficiently. The Virtual Assistant will play a crucial role in ensuring smooth operations, engaging with clients, and contributing to our business growth. Organizational skills, Good English speaking skills needed and ability to work with team.
Responsibilities:
1. Marketing and Sales Support:
Create, schedule, and manage social media content across platforms (Instagram, Tiktok,
Run and monitor paid advertising campaigns on Google,
Assist with
Respond to online inquiries and convert leads into appointments.
Track and report marketing performance metrics.
2. Customer Support:
Assist with Answer calls,
Manage appointment bookings and confirmations.
Provide detailed information about medspa services and promotions.
Handle customer complaints and ensure excellent client experiences. Working with team.
3. Operations Support:
Operate and manage the Zenoti system for scheduling, payments, and reporting.
Enter and update patient records in the EHR system, ensuring accuracy and compliance with HIPAA.
Assist with staff scheduling, shift coordination, and resolving schedule conflicts.
Generate reports on sales, revenue, and client retention.

4. General Administrative Tasks:
Help onboard new staff members (documents, orientation support).
Maintain organized digital files and ensure smooth communication between departments.
Provide reminders for important deadlines and staff meetings.
Requirements:
Experience in the Medspa, Wellness, or Healthcare Industry is highly preferred.
Strong proficiency in Zenoti or similar spa/clinic management software.
GoHighlevel, Canvas, social media platform,
Familiarity with EHR systems and HIPAA compliance.
Excellent communication skills (both written and verbal in English)
Social media marketing experience, including content creation and ad management.
Ability to multitask and stay organized in a dynamic environment.
Tech-savvy with experience using tools like Canva, Mailchimp, or scheduling apps.
Proactive and self-motivated with strong problem-solving skills.
Preferred Qualifications:
Experience with CRM systems and lead management.
Knowledge of basic graphic design tools (e.g., Canva).
Strong understanding of customer service principles and sales techniques.
Ability to manage staff schedules and handle conflict resolution.

Position Details:
Employment Type: Full-Time (negotiable).
Hours Mon to Friday 10am to 6pm CST and Saturday 10am to 3pm.
Location: Remote
Compensation: $400 monthly
