Why this role exists
Gyrilla Investments Group and Scaling.Club have the content, the brand and the clinical substance. What we need is one person who owns the ATTRACT -> CONVERSION execution end-to-end — someone who grows the audience, keeps the channels alive, runs the campaigns, and connects interested parties with team members to generate booked consults.
This role sits alongside the wider marketing team but carries its own accountability (KPIs). This role is measured on booked consults and the cost of getting there = growth that shows up in the diary.
Core responsibilities
Calendar management
Scheduling — creation, management and updating clinic, clinician and the CEO's calendars (as this impacts the ability to handle)
Audience growth & social media
Multi-channel growth — grow the following toward 20,000 across priority channels, with TikTok for discovery,
Posting cadence — plan, schedule and publish consistent, on-brand content across all active channels.
Platform strategy — use each channel for what it does best; discovery on one, trust-deepening on another.
Community — manage engagement, comments and inbound interest across the digital estate.
Campaigns & sales conversion
Campaign delivery — build and run marketing campaigns end-to-end, from concept to live to reported.
Sales links & funnels — set up, manage and track booking and sales links so every campaign is measurable.
Lead-to-booking — work with the GHL/Lead-Response owner so marketing activity flows cleanly into booked consults.
Reporting — track cost per booked consult and report what is working.
Scaling.Club proposals & contracts
Consulting proposals — draft and prepare consulting proposals for Scaling.Club engagements.
Contracts — prepare and manage the contracts that convert proposals into signed work.
Membership funnels — support the sales journey across the Basecamp, Summit and VCOO levels.
Program Manager backup (during leave)
Beyond its core marketing remit, this role is expected to grow into providing cover for the Program Manager's administrative duties during scheduled leave, so that clinic operations, patient-facing admin and CEO support continue without interruption. This is backup coverage, not a permanent expansion of the role — the Program Manager retains day-to-day ownership of these duties, and this role steps in only during leave periods, with proper handover and cross-training in place beforehand.
Scope of cover
Patient scheduling & communication — calling, scheduling,
Contracts & agreements — creating and managing contracts, agreements and related documentation.
Calendar management (extended) — calendar management for the CEO, the nurses and select psychiatrists.
Clinical team coordination — organising with the psychiatrist team regarding patients.
Travel bookings — booking flights, hotels, car hire and related travel logistics.
Billing & invoicing — billing, invoicing and creating receipts for patients.
Research — ad hoc research tasks as required.
Operational coordination — coordinating with the whole team to keep day-to-day operations running smoothly.
General admin support — any other administrative tasks requested by the CEO.
Readiness for cover
Before this role is expected to activate cover independently, the Program Manager will document processes and provide hands-on shadowing across these tasks, with particular attention to patient data handling, billing accuracy and calendar-critical dependencies (eg clinician availability). Cover is planned around scheduled leave and confirmed with the CEO in advance.
Who this suits
Proven social growth — can point to an audience they have grown, not just managed.
Campaign operator — comfortable owning a campaign end-to-end and reporting on its numbers.
Commercially minded — understands that the job is booked, consulted and signed contracts, not likes.
Professional writer — able to produce clean proposals and contracts (writing is an advantage, not the core of the role).
Compliance-aware — healthcare marketing sits under AHPRA and TGA rules; experience here is an advantage.
Self-directed — keeps the channels alive and the campaigns moving without close supervision.
How success is measured
Success is growth that shows up commercially — more booked consults at a lower cost, a growing audience, and a Scaling.Club sales engine that keeps proposals and contracts moving.
AHPRA and TGA compliance is a standing requirement across all content and campaigns; performance and reach are never pursued at the expense of it.
In Summary
This is an operations and, eventual, automation role. This role owns marketing, audience and the Brain Aid Clinics & Scaling.Club sales engine. This is not a clinical role. The day-to-day operational rhythm and the AI agent swarm are owned by this role.
