JOB OVERVIEW

We’re an online fitness and health coaching business looking to bring on a capable, proactive Virtual Assistant to support our backend systems, marketing execution, and lead follow-up.

This role is not a basic admin position. We’re looking for someone who can think independently, follow through on tasks, and help turn ideas into systems and execution.

About Us

We run an online coaching business serving both men and women. Our focus is on delivering great coaching, creating content that attracts the right people, and continuing to grow in a sustainable way. To do that, we need support with the backend, marketing operations, and systems that keep everything running smoothly.

Responsibilities

GoHighLevel (Core Responsibility)
You will be responsible for managing and improving our GoHighLevel setup, including:

CRM pipelines and lead stages

Automations and workflows

Funnels and forms

Follow-up sequences

General CRM organization and maintenance

Strong experience with GoHighLevel is required for this role.

Canva & Marketing Support
You will help with:

Designing Canva assets such as:

Instagram carousels

Story graphics

Lead magnets or opt-in visuals

Turning content ideas we provide into clean, on-brand designs

Creating reusable templates for ongoing use

You will not be responsible for video or Reel editing.

DMs & Lead Follow-Up
You may also assist with:

Managing social media DMs and inboxes

Following scripts and improving them over time

Moving leads into GoHighLevel

Consistent follow-up and basic lead qualification

Helping book calls or hand off warm leads

Additional Support
As needed, this role may also include:

Email newsletters or broadcasts

Basic customer support

Onboarding and scheduling support

General administrative tasks

Required Experience & Skills

Strong, hands-on experience with GoHighLevel (pipelines, workflows, automations)

Solid Canva design skills

Excellent written English

Experience working with CRM systems

Familiarity with Google Workspace

Ability to work independently and take initiative

Strong attention to detail and organization

This Role Is Not a Fit If:

You are new to GoHighLevel

You require constant step-by-step instructions

You struggle with English communication

You prefer only task-following and not problem-solving

Hours & Compensation

15–20 hours per week to start

Flexible schedule

Communication via email, Google Meet, voice notes, and occasional calls

Clear expectations with room for independent execution
