JOB OVERVIEW

Gay London Life is a leading free LGBTQ+ publication in London, available in print and online. We’re looking for a reliable, organised and proactive Marketing & Operations Virtual Assistant to become a key part of our small team.

This isn’t a traditional PA role. You’ll help keep the day-to-day marketing and operations of the publication running smoothly, allowing the founders to focus on sales, partnerships, editorial direction and growing the business.

We’re looking for someone who enjoys variety, is comfortable learning new systems and can take ownership of recurring tasks without needing to be chased.

Your responsibilities will include:

Content & social media
Publishing articles to our WordPress website
Creating simple graphics using Canva
Scheduling content across our social media channels
Repurposing articles into social posts
Helping us develop ideas for TikTok and short-form video
Using AI tools such as ChatGPT to assist with content creation


Email
marketing
Building and sending our weekly Mailchimp newsletter
Creating and sending advertiser email campaigns
Maintaining and uploading email databases

Events & listings
Researching LGBTQ+ events from agreed venues, promoters and social channels
Creating and publishing events in our online diary
Processing listings supplied by the GLL team

Website & campaign management
Updating website banners and promotional advertising
Making sure campaigns start and finish on the correct dates
Adding confirmed advertiser activity to our planning systems
Checking that everything promised to clients is delivered

CRM & sales support
Keeping our CRM organised and up to date
Researching potential advertisers and relevant contacts
Adding qualified prospects to the CRM
Flagging sales opportunities and follow-ups
Sending approved outreach emails and media information
Helping manage initial inbound enquiries

PR & research
Finding relevant PR agencies and contacts
Requesting that Gay London Life is added to media and press lists
Researching businesses running LGBTQ+ campaigns, events or initiatives
Identifying potential commercial and editorial opportunities

You’ll be a great fit if you:
Have excellent written and spoken English
Are highly organised and comfortable managing several recurring tasks
Can work independently and use initiative
Have strong attention to detail
Are comfortable using online tools and learning new platforms
Understand social media and digital marketing
Are confident researching companies and contacts online
Are reliable and communicate clearly

Experience with WordPress, Canva, Mailchimp, Buffer, CRM systems and ChatGPT/AI tools would be a big advantage, but you don’t need to know every platform already. We’re happy to train the right person.

You don’t need to be an expert writer or graphic designer. What matters more is being organised, digitally confident, curious and willing to learn.

We’re a small team, so this role will have genuine responsibility and plenty of variety. We want someone who can become a long-term member of the team rather than simply completing a list of disconnected tasks.
