Marketing & Operations Coordinator — Virtual Real Estate Team

### About the role
We are looking for a smart, dependable, highly organized virtual assistant who can become a trusted long-term member of our residential real estate team.
This role combines **marketing ownership, project coordination, and flexible behind-the-scenes support.**
**Marketing will be your primary area of responsibility.**
We do not want someone who simply waits for a list of tasks every day. We are looking for someone who can learn our business, understand our brand, notice what needs attention, bring us ideas, and then help carry those ideas through to completion.
You will help keep our social media, monthly newsletter, monthly mailer, listing marketing, client events, and other recurring marketing projects moving from **idea to finished product.**
We are also a small team in a fast-moving business. At times, you may help our Director of Operations with clearly delegated administrative, listing, or transaction-related tasks. You should be comfortable switching gears and pitching in where needed.
### What you might work on in a typical month
* Build and maintain our marketing calendar
* Develop ideas for social media content
* Create social media graphics and captions
* Create or coordinate reels and other short-form video
* Assemble our monthly
* Design our monthly physical mailer
* Create listing flyers and other marketing materials
* Repurpose existing content into new formats
* Organize marketing photos, videos, templates, and brand assets
* Maintain project trackers and follow up on open items
* Update our CRM
* Prepare forms or documents for review
* Update internal checklists and records
* Organize listing or transaction files
* Help schedule routine services, vendors, signs, or materials
* Follow up when approvals, information, or decisions are needed
### The person we are looking for
You are organized, but adaptable.
You care about details, but you do not get paralyzed by perfection.
You can take direction, but you also know how to move something forward without having every step spelled out.
You are comfortable saying, **“I noticed this. Here’s what I think we should do.”**
You communicate when you are stuck rather than quietly letting something sit.
You can learn someone’s writing style instead of producing generic, AI-sounding content.
You understand when to handle something independently and when to bring it to a team leader.
You are willing to do both creative work and less glamorous administrative work.
Most importantly, **you follow through.**
### Helpful experience
Experience with any of the following is helpful:
* Real estate administration or transaction coordination
* Canva
* Social media content creation
* Reels or short-form video editing
*
* CRM platforms
* Google Drive and cloud file organization
* Project-management software
* Matrix MLS
* TransactionDesk
You do **not** need to check every box.
Strong communication skills, judgment, organization, attention to detail, creativity, and a willingness to learn are more important than already knowing every program we use.
### Schedule
This is a **part-time role**.
We are looking for someone who can consistently work approximately **15–20 hours per week**, Monday through Friday.
Because you will work closely with our Director of Operations, we need approximately **four hours of consistent live overlap during our normal Pacific-time workday**, generally somewhere between **9:00 AM and 5:00 PM Pacific Time.**
The exact daily schedule can be discussed, but reliable overlap and availability during those hours are important.
