**Company:** Detailer Ads
**Pay:** $1,250–$1,500 USD/month starting + performance bonuses
**Schedule:** 7 Days Per Week
**Location:** Remote
**Long-Term Pay Potential:** $2,000+/month as responsibilities and company grow
## About Detailer Ads
Detailer Ads is a fast-growing marketing agency that helps auto detailing businesses across the United States generate leads and book more jobs through paid advertising.
We currently manage 30+ active clients and are looking for a highly organized and responsible **Operations Manager** to take ownership of our day-to-day agency operations.
This is NOT a basic virtual assistant position.
We are looking for someone who can manage clients, manage team members, solve problems independently, keep projects moving, and make sure the agency runs smoothly without the owner needing to be involved in daily fulfillment.
Your primary goal:
**Make sure every client is taken care of, every task gets completed, and nothing falls through the cracks.**
---
# Schedule
This is a **full-time position with 7-day-per-week responsibility.**
Our clients operate businesses every day of the week, so we need someone who can monitor operations and client communication throughout the week.
### Monday–Friday
These will be your primary working days.
You will actively:
* Manage clients
* Manage the team
* Check projects
* Follow up on overdue tasks
* Coordinate campaigns
* Coordinate creatives
* Handle onboarding
* Resolve client issues
### Saturday–Sunday
Weekends will generally be lighter.
You will primarily:
* Check Slack/client messages
* Handle urgent client issues
* Make sure nothing important is being missed
* Follow up when necessary
* Check that campaigns and operations are running normally
You will not necessarily be doing a full workload every Saturday and Sunday, but you must be **reliable and reachable throughout the week.**
---
# Your Responsibilities
## 1. Client Communication
You will become the primary point of contact for our clients.
Clients communicate with us primarily through Slack.
You will:
* Respond to client questions
* Provide updates
* Follow up with clients
* Handle normal concerns
* Request missing information
* Follow up for video footage
* Communicate campaign updates
* Identify clients who may be unhappy or at risk of canceling
The owner should NOT need to answer routine client questions.
You should be able to handle most situations independently.
---
# 2. Manage Our Fulfillment Team
You will help manage our existing:
* Onboarding VA
* Video Editor
* Media Buyer
And future team members as the agency grows.
You are responsible for making sure everyone knows:
**What needs to be completed**
**Who is responsible**
**When it needs to be completed**
**What has the highest priority**
If someone misses a deadline, you follow up.
If something is blocking a client, you solve it.
The owner should not need to constantly check whether employees completed their work.
---
# 3. Manage New Client Onboarding
Every new client should move through our system:
Payment Received
↓
Onboarding Form Completed
↓
Meta Access Received
↓
GoHighLevel Setup
↓
Scripts Created
↓
Client Records Footage
↓
Footage Sent to Editor
↓
Ads Edited
↓
Campaign Built
↓
Campaign Live
Your responsibility is to make sure clients continue moving through this process.
No client should sit forgotten for several days because someone failed to follow up.
---
# 4. Manage Creative Production
You will coordinate between:
**Client → Video Editor → Media Buyer**
You will:
* Make sure clients receive scripts
* Follow up for video footage
* Organize submitted footage
* Assign editing priorities
* Monitor the editing queue
* Make sure videos are completed on time
* Review advertisements for obvious mistakes
* Send approved creatives to the media buyer
Our video editor should always know exactly what needs to be edited next.
---
# 5. Coordinate With Our Media Buyer
You do NOT need to personally run
However, you should understand the basics of Meta advertising.
You will communicate with our media buyer to ensure:
* Campaigns launch on time
* Clients receive leads
* Underperforming clients are identified
* New creatives are requested when necessary
* Campaign issues are addressed
* No advertising account gets forgotten
---
# 6. Keep Our Agency Organized
You will maintain our internal operations system.
Every client should always have a clear status.
For example:
???? ACTIVE
???? NEEDS ATTENTION
???? AT RISK
Or:
ONBOARDING
WAITING FOR ACCESS
WAITING FOR FOOTAGE
EDITING
READY TO LAUNCH
LIVE
NEEDS NEW CREATIVE
You should be able to answer:
**"What's happening with this client?"**
without needing to ask multiple people first.
---
# Tools We Use
Experience with these tools is preferred:
* Slack
* GoHighLevel
* Meta Business Manager
*
* ClickUp
* Google Drive
* Google Sheets
* Zapier
* Stripe
You do not need to already know every platform.
However, you MUST be comfortable learning software quickly.
---
# Who We're Looking For
We want someone who:
* Has previous marketing agency experience
* Has managed clients before
* Has managed remote workers before
* Has excellent written English
* Is comfortable communicating with U.S. clients
* Is extremely organized
* Responds quickly
* Can manage 30+ clients
* Can manage multiple priorities simultaneously
* Takes ownership
* Can solve problems independently
* Doesn't require constant instructions
* Notices problems before the owner does
* Can hold team members accountable
* Is dependable 7 days per week
Most importantly:
### We need someone who THINKS like a manager — not someone who simply waits for tasks.
---
# You Are NOT a Good Fit If:
* You need instructions for every decision
* You only want simple VA work
* You regularly disappear during working hours
* You don't like communicating with clients
* You avoid difficult conversations
* You struggle managing multiple priorities
* You miss deadlines
* You need constant reminders
* You blame other people when something goes wrong
* You are unavailable every weekend
---
# What Success Looks Like
After approximately 30–60 days:
Clients communicate with YOU instead of the owner.
Our onboarding VA reports to YOU.
Our editor reports to YOU.
Our media buyer coordinates with YOU.
Clients are followed up with automatically.
Creative projects stay organized.
Campaigns launch on time.
Problems get handled before they become emergencies.
The owner primarily focuses on:
* Sales
* Marketing
* Partnerships
* Growth
* Strategy
instead of client fulfillment.
---
# Compensation
Starting compensation:
**$1,250–$1,500 USD/month**
There will also be opportunities for monthly performance bonuses.
Compensation can grow toward:
**$1,750–$2,000+/month**
as you prove that you can successfully manage the operation and take more responsibility.
Performance will be evaluated based on:
* Client retention
* Client satisfaction
* Response times
* Onboarding speed
* Campaign launch speed
* Team deadlines
* Creative turnaround
* Number of overdue tasks
* Number of issues requiring owner involvement
The better the agency operates without the owner, the more valuable your position becomes.
