We are looking for someone who understands maintenance work—not just scheduling it.
This role is best suited for someone who:
Has experience in maintenance, remodeling, or a skilled trade (plumbing, HVAC, remediation, carpentry, etc.)
Can think ahead and anticipate what comes next, not just respond to the current task
Understands how work actually gets done in the field and can coordinate with multiple trades to see a project to completion
Is comfortable managing complex, evolving scopes of work
Is highly organized and able to track multiple moving pieces across systems
Builds strong working relationships with subcontractors and holds them accountable
Naturally takes ownership and keeps work moving without being prompted
Specific knowledge of a trade or trade-related work—such as plumbing, water remediation, carpentry, or HVAC—is preferred but not required. A strong desire to learn and understand the inner workings of these trades is essential for success in this role.
KEY RESPONSIBILITIES
Work Order Flow & Execution
Manage the daily movement of all assigned work orders within your trades
Review and take action on new work orders immediately
Ensure timely assignment and scheduling of all jobs
Actively monitor progress and prevent delays or stalled work
Maintain a high level of daily engagement across all active jobs
Subcontractor Coordination & Relationship Management
Serve as the primary point of contact for assigned subcontractors
Coordinate scheduling between subcontractors and tenants
Build and maintain strong working relationships with subcontractors
Reinforce expectations around timelines, communication, and documentation
Follow up on delays, missed updates, or incomplete work
Project Support & Multi-Step Coordination
Track and support jobs that require multiple steps or trades
Coordinate next steps to ensure work progresses in the correct sequence
Identify when additional work, approvals, or escalation is needed
Support overall job progression from assignment through completion
Escalate complex or high-risk issues when appropriate
Communication & Documentation
Maintain clear, consistent communication with tenants and internal teams
Provide timely updates on job status, delays, and next steps
Ensure all activity, communication, and updates are documented in ClickUp
Keep all parties aligned and informed throughout the lifecycle of the job
Quality & Completion Oversight
Confirm work is completed and properly documented before closure
Ensure required photos, notes, and details are submitted
Identify and flag any issues related to quality or incomplete work
Support accurate and clean job completion for invoicing readiness

Strong organizational skills with the ability to manage multiple priorities at once
High sense of urgency and consistent follow-through
Clear and professional communication skills
Ability to work in a fast-paced, high-volume environment
Strong problem-solving skills and ability to keep work moving forward
Calm under pressure, with a natural drive to keep things moving smoothly
Experience in maintenance coordination, dispatching, or project coordination required
