U.S.-based fuel logistics company seeking a highly detail-oriented assistant
Focus on backend operations, tracking, and compliance
Role supports audit-ready records across deliveries, invoicing, and reporting
Works directly with leadership in a structured, process-driven environment

Fuel logistics / petroleum dispatch
DQ files & FMCSA compliance
FMCSA Clearinghouse familiarity
Drug & alcohol program tracking
IFTA fuel tracking / reporting support
Rack pricing / fuel pricing exposure (OPIS-based preferred)
Terminal or bulk fuel operations
Fleet fueling or wet hosing coordination
Key Responsibilities
Maintain and update delivery tracking (locations, gallons, time, status)
Track fuel volumes for reporting and tax documentation
Support compliance processes (including FMCSA verification and recordkeeping)
Prepare and organize invoices, delivery tickets, and supporting documents
Monitor and log fuel pricing data (OPIS tracking)
Maintain structured records for carriers, vendors, and transactions
Ensure all data is accurate, complete, and audit-ready

Candidate Requirements
Prior experience in fuel logistics, petroleum, or transportation (required)
Strong attention to detail (zero-error tolerance environment)
Excellent written communication
Highly organized and process-driven
Ability to follow SOPs and structured workflows without deviation
Reliable and responsive

Backend support role only
No customer or vendor communication
No dispatch authority or pricing responsibility
Work Structure & Communication
Availability required during U.S. business hours (9:00 AM – 5:00 PM)
Ongoing communication throughout the workday
Weekly check-ins with leadership
Monthly reporting required (accuracy and completeness expected)
