Empire Black Truck is a fast-paced limousine and black-car transportation company serving the New York Tri-State area. Trips are posted in WhatsApp groups throughout the day and can be claimed by another company within seconds, so our dispatchers have to stay focused, react quickly, and make fast but accurate decisions.
This is a live-operations role. If you enjoy fast decisions, constant coordination and keeping every trip and every dollar accounted for, you will do well here.
WHAT YOU WILL DO
1) Claim jobs fast, and only the right ones
- Monitor multiple WhatsApp groups where transportation jobs are posted all day.
- Before accepting a job, immediately check our drivers' live locations, current assignments and upcoming schedules to confirm we can cover it.
- Accept and claim jobs within seconds when we can cover them.
2) Assign and confirm
- Assign or pre-book the appropriate driver for each accepted job.
- Send the complete trip information to the driver and confirm the driver received and acknowledged it.
- Check for scheduling conflicts and prevent double bookings.
3) Monitor every active trip
- Track each trip in real time: driver on location, passenger on board, trip completed.
- If a driver is late, unresponsive or has an issue, act immediately: contact the driver, update the appropriate person, and arrange backup coverage when needed.
- Handle airport pickups, flight delays and last-minute schedule changes calmly.
4) Keep the tracking sheet perfect
Every job must be entered into our Google Sheets tracker with:
- Trip date and time
- Pickup and drop-off locations
- Passenger information
- Assigned driver
- Company that provided the job, and the specific dispatcher who sent it
- Total job amount, driver pay, expected profit
- Payment terms, due date, and payment status (paid, pending or late)
This is how we know exactly who gave us each job and who we need to follow up with for payment, so accuracy is not optional.
WHO WE ARE LOOKING FOR
Required
- Previous dispatch or live-operations experience in a fast-paced, last-mile environment.
- Excellent spoken and written English; you will be communicating with drivers, affiliates and clients constantly.
- Strong internet connection (minimum 25 Mbps download / 10 Mbps upload) with a backup connection, plus a backup power source. You must be reachable at all times during your shift.
- Comfortable working U.S. Eastern Time hours, including early mornings, evenings or weekends depending on the shift assigned.
- Confident with WhatsApp (groups, voice notes, quick replies) and Google Sheets (data entry, filters, formulas at a basic level).
- Calm under pressure, extremely organized, and able to make quick decisions without waiting to be told.
Strongly preferred
- Experience in limousine, black-car, taxi/rideshare, NEMT, airport transportation, courier, or food-delivery dispatch.
- Working knowledge of the New York Tri-State area: JFK, LGA, EWR, Manhattan, Brooklyn, Queens, the Bronx, Westchester, Long Island, New Jersey and Connecticut - including typical drive times and traffic patterns.
- Experience dispatching from affiliate networks or job-posting groups where trips are claimed first-come, first-served.
- Familiarity with limo/black-car software or booking platforms.
Please note: 3PL trucking, truckload scheduling and HVAC dispatch experience can be helpful, but those industries operate very differently from limousine and taxi dispatch. If your background is only in those areas, please explain clearly in your application how you would handle live passenger transportation, airport pickups and jobs that must be claimed within seconds.
HOW TO APPLY
Apply with the subject line: BLACK CAR DISPATCHER - [YOUR NAME]
In your application, answer all of the following. Applications that do not answer every question will not be reviewed.
1. Describe your dispatch experience. What industry, how many drivers/trips per day, and what tools did you use?
2. Have you dispatched passenger transportation (limo, black car, taxi, NEMT, airport)? Give one specific example of a problem trip and how you solved it.
3. A trip is posted in a WhatsApp group: JFK pickup at 6:00 PM today, drop-off in Midtown Manhattan. Walk us through, step by step, exactly what you check and do in the first 60 seconds.
4. Attach a screenshot of a speed test (speedtest.net) taken on the connection you would use for work, and tell us your backup internet and backup power setup.
5. What hours are you available in U.S. Eastern Time?
6. How familiar are you with the NYC Tri-State area? Roughly how long is JFK to Midtown at 5:00 PM on a weekday?
Shortlisted candidates will complete a short paid live-dispatch trial (WhatsApp + Google Sheets) before hiring.
