We are a fast-growing law firm focused on estate planning and probate. We are looking for a highly organized, proactive Virtual Assistant to help manage client communication, scheduling, and workflow.
This is NOT just a task-based role. You will be responsible for helping move client matters forward and ensuring no client or lead falls through the cracks.
Key Responsibilities
- Respond to new client inquiries via
- Send intake forms and follow up until completed
- Schedule consultations and send reminders
- Send engagement letters and invoices after consultations
- Open and update client matters in our case management system
- Track all active clients and ensure each matter is progressing
- Follow up with clients who have not signed or completed next steps
- Coordinate scheduling for signing appointments
- Send client updates and maintain consistent communication
What Success Looks Like
- All new leads are responded to within 1 hour during working time
- No client goes more than 24 hours without a response or next step
- Every matter has a clear next action scheduled
- The attorney does NOT need to follow up with clients—you handle it
Requirements
- Strong written English communication (this is client-facing)
- Highly organized and detail-oriented
- Proactive (you follow up without being asked)
- Comfortable using
- Able to learn and follow systems and workflows
Bonus (not required):
- Experience with CRMs or case management software
- Experience working with law firms or real estate
This role is critical to the success of the firm. You will be a key part of ensuring clients have a smooth, professional experience and that all matters move forward efficiently.
