We are seeking an experienced Legal Assistant / Intake Coordinator to support a California law firm with day-to-day legal administration, client intake, case coordination, and attorney support.
The ideal candidate has hands-on experience working with California law firms, is highly comfortable using Clio Manage as a daily case-management system, and has practical experience with court filings through One Legal and U.S. court e-filing systems.
Key Responsibilities
Support attorneys and legal staff with day-to-day administrative and case-related tasks.
Manage and update client and matter information in Clio Manage on a daily basis.
Assist with new client intake, including collecting, organizing, and accurately entering client and case information.
Coordinate case documents, deadlines, correspondence, and follow-up items.
Prepare, format, draft, and proofread attorney correspondence, ensuring accuracy, professionalism, grammar, and appropriate legal formatting.
Prepare and submit court filing documents through One Legal and applicable U.S. court e-filing systems.
Track filing submissions, confirmations, deadlines, and court-related documents.
Communicate with clients, attorneys, courts, and other legal professionals as needed.
Maintain accurate digital case files and ensure documents are properly organized within the firm's systems.
Follow established legal procedures, confidentiality requirements, and attorney instructions.
Provide general administrative and legal support to ensure matters move efficiently from intake through ongoing case management.
Required Qualifications
3+ years of experience supporting California law firms.
Direct experience working with a California law firm.
Clio Manage must have been used as a daily working tool, not simply listed as a skill.
Hands-on experience using One Legal for court filings.
Experience e-filing with a named U.S. court and the ability to identify the specific court(s) where you completed filings.
Experience drafting and proofreading attorney correspondence.
Strong written and spoken English.
Excellent attention to detail, organization, and document accuracy.
Ability to handle confidential client and legal information professionally.
Comfortable working independently in a remote environment.
Preferred Experience
California civil litigation or other California legal practice experience.
Familiarity with California court procedures and filing requirements.
Experience coordinating deadlines, pleadings, notices, and other legal documents.
Experience handling client intake and communicating directly with prospective or existing clients.
Strong knowledge of Microsoft Office/Google Workspace and common legal technology.
