We are a growing U.S.-based law firm seeking a Legal Assistant to join our team and provide hands-on support with client matters and the firm's day-to-day legal operations.
This is an opportunity for someone who is highly organized, exceptionally detail-oriented, and interested in learning a specialized area of law. We are interested in finding someone who is intelligent, organized, curious, dependable, and capable of learning complex processes.
This position will begin at 20 hours per week, Monday through Friday from 9:00 AM–1:00 PM Eastern Time, with the potential for additional hours and increased responsibility as the firm's needs grow.
We are looking for someone interested in developing a long-term relationship with the firm and becoming someone we can rely on to help move client matters forward.
About the Role
The Legal Assistant will work closely with firm leadership and assist with a variety of legal, administrative, and client-related matters.
Because our practice is highly specialized, you will learn our processes and systems over time. The successful candidate does not need to know the answers when they start, but they must be willing and able to learn, research, follow detailed instructions, ask thoughtful questions, and become increasingly independent.
The role may include:
- Assisting with client applications and renewals
- Preparing and organizing documents for regulatory filings
- Reviewing applications and supporting documentation for completeness and accuracy
- Organizing client information and documentation
- Maintaining client files and electronic folders
- Preparing forms, spreadsheets, trackers, and other work product
- Reviewing documents carefully for errors, inconsistencies, and missing information
- Conducting legal research at the direction of the attorney
- Preparing research summaries and internal notes
- Tracking applications, submissions, corrections, deadlines, and outstanding items
- Communicating with clients regarding administrative and document requests
- Drafting routine client correspondence based on instructions or templates
- Following up with clients regarding missing information or documentation
- Assisting with submissions to government agencies
- Monitoring the status of pending applications and regulatory matters
- Organizing correspondence and documentation received from government agencies
- Maintaining internal databases, spreadsheets, and matter trackers
- Following established Standard Operating Procedures (SOPs) and drafting new ones
- Assisting with the development and improvement of firm processes
- Providing general support to firm leadership
- Scheduling and setting appointments
- Taking on additional projects and responsibilities as the candidate becomes more familiar with the firm
The work requires a high level of attention to detail. A seemingly small discrepancy in a name, address, ownership document, application response, or supporting document can matter, so we are looking for someone who naturally double-checks their work rather than simply checking a box.

We are particularly interested in candidates who are analytical and naturally curious. You may be given a regulatory question or an unfamiliar application and need to figure out where to look, identify the relevant information, and organize what you find for the attorney.
You should not be someone who needs every step of every assignment spelled out indefinitely. As you become familiar with our practice and systems, we expect you to become increasingly comfortable recognizing what needs to be done next.
Experience
Prior experience as a legal assistant, paralegal, regulatory assistant, compliance assistant, or administrative professional is helpful but not required. Law firm experience is preferred but not required.
Experience working in a regulated industry, professional services environment, government agency, compliance role, or another detail-oriented position may be particularly helpful.
Most importantly, we are looking for someone with the ability and willingness to learn. We will teach you our practice.
A candidate who has excellent organizational skills, strong writing abilities, good judgment, and a demonstrated ability to learn may be a much better fit than someone with years of legal experience who lacks those qualities.
Hours
- Monday–Friday, 9:00 AM–1:00 PM Eastern Time
- 20 guaranteed hours per week
- Must be consistently available during the stated Eastern Time hours
- Long-term position; this is not intended to be a short-term or temporary assignment
There is potential for the position to grow in both hours and responsibility for the right person.

Who Will Succeed in This Role?
This position is best suited to someone who enjoys learning how things work and making sure things are done correctly.
You will be working in a specialized legal practice where you will encounter unfamiliar terminology, government forms, regulatory requirements, and client situations. We do not expect you to know these things when you begin. We do expect you to be willing to learn them.
Over time, our goal is for you to become someone who understands our systems well enough to anticipate what is needed, identify missing information, keep matters organized, and help ensure that nothing falls through the cracks.
