We are a U.S.-based real estate company seeking a Lease & Tenant Operations Assistant to support the day-to-day operations of our residential apartments rental portfolio.
This role combines lease administration and tenant customer service responsibilities. You will help manage leases, communicate with tenants, coordinate maintenance requests, and support our property management team.
We are looking for a plug-and-play professional who already has relevant experience supporting property management, leasing operations, or customer service for real estate companies. The goal is for you to step into the role quickly and operate independently after a short onboarding period.
This is a long-term, full-time role with strong opportunities for career growth as our real estate portfolio expands.
RESPONSIBILITIES
1. Lease Administration
- Prepare and update lease agreements and addenda
- Track lease start and end dates
- Assist with lease renewals and tenant move-ins / move-outs
- Maintain accurate tenant records and documentation
- Organize and upload signed leases and related documents
2. Tenant Communications
- Respond to tenant inquiries via
- Coordinate maintenance requests and service issues
- Follow up with tenants regarding service updates and lease matters
- Maintain professional and courteous communication with tenants
3. Coordination & Operations
- Communicate with vendors regarding maintenance or service requests
- Coordinate with property managers on tenant or lease issues
- Update internal systems with tenant information and work order status
- Help ensure smooth day-to-day operations of our rental properties
REQUIREMENTS
- Prior experience supporting property management (especially for US properties), leasing operations, or real estate teams
- 2+ years of experience in use of property management software (Rent Manager, AppFolio, Airbnb, etc. - with priority on Rent Manager)
- University educated (undergraduate or above)
- Excellent written and spoken English
- Ability to communicate professionally via phone calls with tenants and vendors
- Comfortable handling negotiations or discussions when issues arise, including representing and defending the company’s position when necessary
- Strong attention to detail and organizational skills
- Ability to work independently and follow structured processes
We are specifically looking for candidates who can be plug-and-play, meaning you can start contributing quickly because you already understand how property management operations work.
Preferred Experience
- Tenant support or leasing coordination
- Vendor coordination or maintenance dispatch
- Customer service roles involving phone communication
- Basic journaling and bookkeeping experience
Working Hours
- 8 hours per shift, 5 days per week; it can be more if candidate is interested in extending hours;
- Shifts would be during US (Central time) office hours and off-hours
