We are seeking a Lead Operations Assistant & Project Manager to support the VP of Marketing & Communications in both marketing- and sales-related initiatives. This is a full-time, long-term position working for a family of career colleges in the United States---both on-campus and online programs.
This is a hands-on, execution-focused role that blends:
- Executive Assistant support
- Project management
- Operations coordination
- SOP creation & enforcement
- Team follow-up and accountability
- Administration and task execution
You must be comfortable doing high-level coordination AND day-to-day admin work. If you take pride in keeping your manager organized, supporting them operationally, and making sure the entire team delivers on time — this role is for you.
You will support the VP directly by handling:

-- Daily briefings summarizing wins, blockers, deadlines, and red flags
-- A running list of rapid-fire decisions the VP needs to make
-- Follow-ups with staff, freelancers, vendors, and departments on behalf of the VP
-- Organization of files, documents, inboxes, and communications
-- Ensuring the VP stays focused, prioritized, and informed
You will manage department projects by:
-- Owning and maintaining the ClickUp workspace
-- Creating, assigning, and updating tasks and deadlines
-- Ensuring all tasks and projects are consistently moving forward
-- Following up when things fall behind or need attention
-- Managing projects owned by the VP and the Senior Marketing Specialist
-- Keeping project notes, files, statuses, and deliverables accurate and organized
You will manage SOPs and documentation by:
-- Writing SOPs based on meetings, instructions, and workflows
-- Updating and organizing SOPs in a structured and accessible library
-- Ensuring teams follow SOPs correctly and identifying gaps
-- Maintaining version control and documenting changes
You will coordinate and support our team by:
-- Communicating with developers, designers, content freelancers, and contractors
-- Coordinating development work related to websites, GoHighLevel CRM, SocialBee, graphic design, and marketing operations
-- Supporting hiring by posting jobs, reviewing applicants, screening candidates, and scheduling interviews
-- Onboarding new freelancers with access, SOPs, expectations, and ClickUp tasks
You will also support general operations by:
-- Preparing light reports and progress updates
-- Conducting light research when needed
-- Organizing folders, shared drives, and asset libraries
-- Helping with marketing asset coordination
-- Surfacing delays, issues, red flags, or risks early
Daily expectations include:
-- A daily meeting with the VP
-- Reviewing progress, blockers, priorities, and decisions needed
-- Maintaining a real-time overview of all active projects
-- Proactive communication throughout the day
