Position: Legal Administrative Assistant
Location: Remote (U.S.-based preferred)
Type: Full-time (Monday–Friday, 9:00am–5:00pm EST)
Overview
Your Law Firm is a boutique law practice undergoing a strategic shift from family and criminal law to probate litigation. We’re a small, close-knit team of three professionals committed to delivering high-touch, detail-oriented legal services—especially for clients facing emotional or high-stakes situations.
We’re hiring a Legal Administrative Assistant to serve as the organizational and client-relations backbone of the firm. This is not just an assistant role—it’s a mission-critical position. You’ll manage our case admin operations, maintain excellent communication with clients, and protect attorney time by handling recurring legal office functions with precision.
The right person will be calm under pressure, emotionally intelligent, fluent in Zoho tools, and obsessive about organization. You’ll work directly with attorneys and clients and play a critical role in helping the firm grow as we specialize in probate litigation.
Responsibilities
- Scheduling: Manage calendars for attorneys, court dates, client meetings, and internal deadlines
- Case Communication: Send weekly client case updates and follow-up
- CRM Management: Update and maintain client records in Zoho CRM & Projects
- Case Lifecycle Admin: Initiate and close cases, manage checklists and workflows
- Calendaring: Track legal deadlines, filing schedules, and ensure no dates are missed
- Client Interaction: Conduct intake calls, answer client questions, and relay information clearly
- Filing Preparation: Assist with document collection, formatting, and readiness for attorney filing
- Process Documentation: Help build and maintain admin SOPs and checklists
- Team Communication: Provide proactive updates to attorneys and support cross-role coordination
Requirements
- 2+ years in a legal administrative role (preferably in litigation, probate, or estate planning)
- Fluency in English—must speak clearly and comfortably with clients over the phone
- Proficiency in Zoho tools, especially Zoho CRM, Zoho Projects, and document/spreadsheet tools
- Experience managing high-volume calendars, sensitive client communication, and legal documentation
- Strong writing and organizational skills—able to document and follow structured workflows
- Remote work experience or proven ability to self-manage, prioritize, and communicate proactively
- Ability to remain professional and composed when speaking with grieving or emotional clients
- Must be able to work 9:00am–5:00pm EST, Monday–Friday

Bonus Qualifications
- Experience in probate litigation, estate planning, or similar fields
- Familiarity with legal naming conventions, filing deadlines, or court calendars
