The Role
We are looking for a detail-oriented, self-directed Junior Real Estate Bookkeeper to join our growing remote team. This is a part-time contractor position starting at approximately 10–15 hours per week, growing to 15–20 hours as you get up to speed — with clear potential to become full-time as our client base expands.
You will work directly under the owner/founder, handling the day-to-day bookkeeping tasks for a portfolio of real estate investor clients — primarily using Xero — so the owner can focus on client relationships, business development, and strategic growth.
This is NOT just a task-taking role. We want someone who takes ownership, communicates proactively, and helps build a more efficient practice over time.
Core Responsibilities
Bookkeeping & Financial Accuracy
Record and categorize all transactions weekly for real estate investor clients (primarily cash-basis, with some accrual-basis clients due to invoicing).
Reconcile bank and credit card accounts across multiple clients and entities.
Track revenue and expenses by property, project, or portfolio.
Prepare and maintain accurate monthly financial reports and flag any discrepancies or concerns.
Handle fixed asset entries where applicable, including depreciation and project-specific CapEx tracking.
Review tax returns to validate reporting accuracy and support year-end preparation.
Manage installment sale reconciliation when relevant (knowledge in this area is a plus).
Client Portal & Communication Management (via Double HQ)
Log in to Double HQ daily and prioritize clearing the three key queues: (1) outstanding client questions / inbound queries, (2) pending client uploads, and (3) transaction questions awaiting client response.
Respond to client portal activity promptly — inbound client questions should be addressed the same day.
Escalate unresolved items or non-responsive clients to the owner in a timely manner with a clear log of outreach attempts.
Keep client files and task statuses updated and accurate in Double HQ at all times.
Systems & SOPs
Follow and maintain existing Standard Operating Procedures (SOPs) for financial workflows.
Suggest improvements to current accounting processes and documentation when you identify a better way.
Assist in building and refining client-specific templates within Double HQ as part of onboarding new accounts.
Communication & Collaboration
Communicate clearly and proactively with the owner via Slack — flag concerns early, don't wait.
Participate in weekly check-ins to review client statuses, outstanding items, and any escalations.
Complete Double HQ Academy training within your first week on the job.
Be a thought partner, not just a task-taker — if something doesn't look right, say so.

You're a Perfect Fit If…
You have at least 5+ years of professional bookkeeping experience, with at least 2 years specifically in real estate bookkeeping.
You are proficient in Xero — this is non-negotiable. QuickBooks Online experience is a strong bonus.
You understand cash-basis accounting for real estate investors and can manage multiple client entities cleanly.
You are comfortable with real estate-specific transactions: rental income, property purchases and sales, rehab costs, refinances, and depreciation entries.
You have knowledge of installment sale reconciliation (a significant plus for our client base).
You can confidently spot discrepancies, follow up on missing information, and produce clean monthly financials.
You are an excellent written and verbal English communicator — clear, kind, and professional. Strong English fluency is a firm requirement for this role.
You're highly organized and can manage multiple client accounts and deadlines without dropping the ball.
You build and improve bookkeeping systems — not just follow them.
You are comfortable working independently in a remote, async-first environment with a small, growing team.
You are a self-starter who takes ownership of your work and communicates proactively — not reactively.
Qualifications
5+ years of professional bookkeeping experience.
2+ years of bookkeeping experience specifically with real estate investors or real estate-adjacent businesses.
Xero proficiency (required). QuickBooks Online experience (strong plus).
Strong knowledge of GAAP and real estate bookkeeping best practices.
Xero Advisor Certification or equivalent is a plus.
Excellent attention to detail and organizational skills.
Strong English fluency (written and verbal) — this is a firm requirement.
Experience with property-level tracking, cash-basis bookkeeping, and multi-entity management.

Work hours are flexible within a wide window: 9:00am – 11:00pm Eastern Standard Time (EST).
You do not need to work exclusively during US business hours — most bookkeeping work is async and deadline-driven.
You are expected to be reachable via Slack and able to respond to client portal activity within the agreed same-day window.
You must be available for a weekly check-in meeting (time to be agreed upon at hire).
Note for Philippines-based applicants: Eastern Time is typically 12 hours behind Philippine Standard Time — evening/night hours PST are perfectly fine and expected.
