Job Description: Client Services Assistant (part-time)
We are a UK award-winning independent social work, care, and capacity practice serving private clients, families, and legal professionals across England and Wales. We are known for being reliable, rapid, and responsive, while remaining warm, clear, and professional.
Role summary
We are seeking a detail-oriented Client Services Assistant to support our Client Services Lead with day-to-day administrative processing and telephone referrals.
Command of the English (UK) language is essential.
This is a part-time, remote role suited to someone who enjoys structured work, clear processes, and delivery of a consistently excellent client experience.
Must be able to work from either 9am to 1pm (UK time) or 1pm to 5pm (UK time).
There may be an opportunity in 3-6 months to increase hours to full-time (40 hours a week) and after 1 year, to take on a more senior role of Client Services Coordinator.
Key responsibilities
- Telephone and client communications support
- Assist with handling inbound telephone calls (as agreed with the Client Services Lead)
- Take accurate messages and ensure timely follow-up
- Support professional, compassionate communication with families and legal professionals
- Administrative processing
- Log new enquiries and maintain accurate client records
- Prepare and send standard
- Organise documents, forms, and basic case/admin checklists
- Support appointment administration (confirmations, reminders, and information requests)
- Assist with daily task lists and workflow coordination
- Support to the Client Services Lead
What we’re looking for:
Strong written and spoken English (clear, professional tone)
Confident on phone/video calls and comfortable speaking with clients
Highly organised with strong attention to detail
Reliable internet connection and a quiet, professional workspace
Able to follow processes, use checklists, and work to deadlines
Comfortable handling sensitive information with discretion
Nice to have
Prior VA/admin experience supporting a UK
Experience with professional services (legal, healthcare, consulting)
Familiarity with Google Drive and basic spreadsheet tracking
Part-time: 4 hours per day, 5 days per week (20 hours per week)
Location: Working from Home only (must be able to take private calls and not work in public)
Reports to: Client Services Lead
Accountable to: Director of Operations
Pay: Probation (first 6 months): USD $2 per hour
Pay: After probation: Up to $3 per hour (depending on performance)
