Position Summary
We are seeking a high-level Executive Assistant – Operations to provide administrative and
analytical support for our US-based property portfolio. This is not a typical "inbox management"
role; we need a detail-oriented professional who can dive into financial data, audit compliance
files, and track KPIs to ensure our operations run like a well-oiled machine.
Key Responsibilities
? Administrative & Compliance: Conduct regular file audits to ensure all digital records
meet company and regulatory standards; standardize documentation across multiple
properties.
? Financial Oversight (AP & Commissions): Coordinate with vendors for statements,
cross-reference open payables (30+ days), and conduct rigorous reviews of monthly
commission reports against lease agreements to flag discrepancies.
? KPI Tracking & Data Management: Build and maintain complex spreadsheets to track
monthly/quarterly performance metrics; ensure accuracy and visibility in
month-over-month reporting.
? Operational Analysis: Identify underperforming properties using financial data and
support leadership in developing targeted marketing or business strategies to improve
them.
? Process Improvement: Streamline existing reporting systems and evaluate the
performance of third-party partners to increase overall efficiency.
Required Qualifications
? Spreadsheet Mastery: Strong proficiency in Microsoft Excel and Google Sheets (you
should be comfortable with advanced formulas and data tracking tools).
? Analytical Mindset: Ability to identify trends, inefficiencies, and data inconsistencies
without being prompted.
? US Property Management Experience: Previous experience in the US real estate
industry is highly preferred.
? Attention to Detail: You are the type of person who catches a single missing invoice or
a minor calculation error in a large report.
? Communication: Excellent written and verbal English skills for proactive communication
with leadership and vendors.
